The Mohawk Valley Collective is a local nonprofit dedicated to the restoration and adaptive reuse of two of our area’s historic architectural gems: Unity Hall (the former Universalist Church in Fort Plain) and the former West Hill School in Canajoharie. Our main mission is the acquisition/preservation of these properties of historic or other significance in western/central Montgomery County and the return of those properties to productive use; the provision of venues for the visual/performing arts; and the fostering, development, promotion and encouragement of the arts, including support for artists and arts education for the general public.
Position Summary
The Finance/Administrative Assistant will work with the Executive Director, Accountant, and Treasurer to record, monitor, and handle financial matters of the organization. In addition, administrative duties of the organization will be performed.
Financial Responsibilities
- Record transactions, reconcile accounts
- Prepare and disburse payments to vendors
- Assist with the preparation of documents to lenders and grantors
- Responsible for payroll, including disbursement requests
- Assist the Accountant, Treasurer, and Executive Director in the preparation of reports and filings including financial statements, payroll, and P&L reports as needed
- Process incoming donations, make deposits, data entry, and gift acknowledgments
Administrative Responsibilities
- Assist with coordinating office activities
- Manage incoming and outgoing mail, phone calls and email correspondence
- Maintain physical and digital filing of documents
- Create and update records and databases
- Other duties as assigned by the Executive Director
Qualifications
- Working knowledge of QuickBooks Online and QuickBooks Deluxe for Windows
- Knowledge of basic accounting principles and practices, knowledge of financial record keeping and reporting and budget preparation
- Ability to analyze financial transactions and make original or adjusting entries; ability to interpret financial transactions; ability to trace prior transactions through financial records.
- Excellent oral and written communication skills
- Show dependability and attention to detail
- Proficiency using Microsoft Office and Excel
- Experience with non-profit organizations and grants preferred, but not necessary
- Associates degree preferred. Students currently obtaining an Accounting degree are also encouraged to apply.
