FRC Program Assistant Job at The GLIDE Foundation

The Program Assistant’s primary responsibility is to help the FRC Program ensure the Family Resource Center maintain its contract and responsibilities by providing administrative support. The Program Assistant will support the organization and implementation of family-centered activities/workshops/meetings/fieldtrips designed to increase or maintain family participation/involvement, and that opportunities are appropriate for, and reach a multi-lingual community and families. This position assists with the administrative responsibilities and supports family programming. The Program Assistant must be willing and able to periodically work non-traditional hours (early evenings, holidays and weekends). Regular and predictable attendance is required.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties can be assigned, and the duties and responsibilities of the job are subject to change without notice

  • Weekly data entry of programming attendance and tracking of services, in two separate database using Salesforce and SF City database.
  • Support the Glide Zero Waste Pantry efforts via data entry and participation in the pantry.

  • Expense tracking, handling receipts and monthly reconciliation of expenses.
  • Assist with event planning and logistics.
  • Participate in community and family events as part of the team.
  • Participate in children’s groups and assist staff with logistics.
  • Provide information and referral via phone, in person, and email.
  • Assist with general office tasks such as printing materials, filing, and copying.
  • Meet professional obligations through efficient work habits such as: meeting deadlines, honoring schedules, attending and actively participating in staff and individual meetings.

SUPERVISORY RESPONSIBILITIES:

  • None.

QUALIFICATIONS:

  • Enjoys being around families, youth and children, and is willing to assist in meeting the social, emotional, physical and educational developmental needs of FRC families.
  • Strong knowledge of administrative systems and procedures, including records’ maintenance;
  • Strong proactive sense of initiative and follow-through;
  • Understands the importance of, and maintains FRC participants’ confidentiality. Adheres to professional boundaries and standards. Understands and follows basic ethics, values and principles of childcare work;
  • Is a Team Member. Is responsible for own involvement as a contributing member involving group decision making and the development of a positive, cooperative building environment;
  • Ability to establish and maintain effective working relationships with those encountered during work, in other GLIDE programs, and outside agencies;
  • Is reliable, responsible and dependable, and fulfills obligations of the job;
  • Has the ability to work effectively across cultures. Demonstrates a commitment to learning, communicating and working respectfully with people different from themselves;
  • Commitment to the mission, values, and philosophy of GLIDE.

EDUCATION and/or EXPERIENCE:

  • Any combination of education, training and experience that provides the required knowledge and abilities;
  • Administrative and clerical support experience and skills;
  • Experience working in a community based social service agency with the targeted population and knowledge of San Francisco social services agencies helpful

CERTIFICATES, LICENSES, REGISTRATIONS:

  • Must pass Tuberculosis and Dept. of Justice Fingerprint screening.
  • Possession and maintenance of a CA class C driver’s license and a satisfactory driving record required.
  • CPR, First Aid, N.E.R.T trainings helpful.

COMMUNICATION SKILLS:

  • Bilingual language skills strongly preferred (Spanish).
  • Exceptionally strong communication skills, including the ability to gain confidence and obtain personal and confidential data across ethnic and cultural lines.
  • Public speaking ability. Comfortable speaking in front of large groups and co-facilitating diverse activities.
  • Strong grammar and writing skills. Attention to detail required.

COMPUTER SKILLS:

  • Strong skills in MS Office suite (Excel, Word, Outlook, PowerPoint).
  • Knowledge of database systems desired. Strong typing skills and ability to enter data with speed and high degree of accuracy.

MATHEMATICAL SKILLS:

  • Strong grasp of basic mathematical functions. Ability to perform simple invoicing procedures

  • Working around children involves physical activity, mental alertness, and enthusiasm. Good general health, physical stamina and emotional stability are essential.
  • Ability to use standard office equipment, and access, input and retrieve information from a computer. Ability to use keyboard with manual and finger dexterity and wrist-finger speed sufficient to perform repetitive actions efficiently for extended periods of time.
  • Requires ability to sit and keyboard for long periods of time (stationed at computer 75% of work time).
  • This person must take frequent short breaks, integrate stretching into her/his daily duties to avoid musculoskeletal disorders.
  • Activities that occur frequently are: standing, walking and handling. Activities that occur occasionally are: climbing staircases. Activities that occur infrequently are: bending, squatting, crouching, kneeling, twisting, reaching straight, above and below shoulder level, carrying and lifting up to 25 pounds.
  • Ability to move about. Will come and go from the work area repeatedly throughout the day. Ability to move quickly to address emergency or potentially dangerous situations.
  • Ability to use public and/or private modes of transportation. Duties are GLIDE based, but travel to offsite locations is required.
