Job Description

Summary: Front Desk coordinator needs to ensure that patient’s appointments are appropriately scheduled, rescheduled, or canceled, depending on the needs of the patients and the doctors. The front desk coordinator responsibilities include entering patient information onto our data system, answering patient’s questions, keeping schedule up to date, understand ledger of each patient, Organize and maintain patient waiting area clean and disinfected. Ultimately a front desk coordinator will perform all duties in a manner that ensures the efficient running of the dental practice.

Essential Duties and Responsibilities:
  • Greet Patients
  • Register new patients according to established office protocols
  • Assist patients to complete all necessary forms and documentation
  • Verify and update patient information
  • Inform patients of dental office procedures and policy
  • Move patients through appointments as scheduled
  • Enter all relevant patient information into the data system
  • Maintain and manage patient records in compliance with privacy and security regulations
  • Answer and manage incoming calls
  • Respond and comply to requests for information
  • Schedule patient appointments
  • Confirm upcoming appointments and recalls according to office protocol
  • Check daily appointment schedule
  • Arrange patient route slips for next day appointments
  • Fill In cancellations and no shows with our waiting list
  • Organize referrals and medical clearances
  • Dispatch lab work appropriately
  • Collect and receipt payments from patients at the time of treatment
  • Inform patients of financial treatment plan options
  • Arrange payment schedule with patients
  • Prepare and mail billing statements
  • Update patient education materials
  • Maintain a professional reception area
  • Safeguard patient privacy and confidentiality

Education: High School Diploma or GED required.

Knowledge, Skills and Abilities:
  • Focus on customer service.
  • Ability to communicate with others in a professional manner.
  • Attention to detail.
  • Experience in a dental practice with knowledge of dental procedures and dental front desk is preferred; training or education in these areas will be considered. Preferred 1 year of dental experience.
  • Motivating team player and leader.
  • Proficient in basic computer applications with the ability to learn new software.
