As a Patient Relations Leader, you are apart of the front desk team and your passion for providing exceptional patient service contributes to our world-class high level of patient satisfaction. You will be critical in the planning and coordination of the supportive services of the Practice, such as payroll, scheduling, billing, digital record-keeping, and other supportive services. You will distinguish yourself as a leader by cheering on the success of your team and playing a key role as a mentor in the professional development and success of your team.
Description
- Conduct orientation sessions and arrange on-the-job training for new hires.
- Analyze training needs to develop new training programs or modify and improve existing programs.
- Train team members in proper operational procedures and functions and explain company policies.
- Setup additional training when needed.
- Conduct or arrange for ongoing technical training and personal development classes for staff members.
- Build relationships with doctors and team leaders within the office.
- Understand efficient scheduling for each doctor and train the Patient Relations Team effectively to make sure goal is hit each day.
- Ensure business supplies are kept at efficient levels.
- Listen to 2 phones calls per week from each business team member to ensure quality control and training are happening.
- Setup weekly trainings standards to be hit.
- Meet monthly with departmental trainer to discuss how effective training is going.
- Analyze internal processes and recommend and implement procedural or policy changes to improve operations, such as supply changes or the disposal of records.
- Coordinate staffing, scheduling and vacation requests.
- Monitor the Practice to ensure that it remains safe, secure, and well-maintained with OSHA, HIPAA and Emergency binders.
- Meet with the Doctor and any other supervisors to stay informed of changes affecting operations.
- Observe and evaluate workers' appearance and performance to ensure quality service and compliance meet the standards set by doctors and other leaders.
- Inspect work areas and operating equipment to ensure conformance to established standards in areas such as cleanliness and maintenance.
- Must always represent the practice in a professional, pleasant, and cooperative manner.
- Must maintain regular, consistent and punctual attendance in accordance with assigned schedule and time off policies.
- Must be able to comfortably and efficiently handle multiple deadlines and task assignments for self and subordinates.
- Must be able to work both independently and cooperatively in team settings.
- Occasionally there may be some travel, by car or plane, required for you to participate in continuing education or seminars.
- Other duties and tasks, as assigned periodically.
- Keeping schedule running smoothly throughout the day (may have to work with Jordan on the schedule)Looking ahead and planning for the day to keep procedures running on time as much as possible
Time management (make sure the Doctor is staying on time)Make sure team members are getting lunchesMake sure that patient’s do not have to wait to long for their appt.If they must wait letting front desk know to inform the patientMake sure hygiene is getting patients back on time
- Check schedule a week ahead for all doctors (things constantly get added so checking every day is preferable)
- Make sure that the Business Team schedule is put in for the week and lunches, make any changes as necessary
- Ensure that the daily checklist for the business team is getting done
- Yellow slips taken care of daily (if Leader is out they will be delegated to assistants who are working with that certain doctor that day)
- Update time cards on ADP on Monday of Pay-week.

- Adhere to strict safety guidelines and procedures to OSHA and office standards.
- Must be comfortable seeing and able to maintain a professional demeanor and attitude while working around blood and smells that may be unpleasant.
- You must be flexible and understand that your job duties may change from time to time and that you may be asked to “help out” in other areas of the office.
- Must demonstrate good reading comprehension - Understanding written sentences and paragraphs in work related documents.
- Must demonstrate excellent communication skills - Talking to others to convey information effectively.
