What does a Receptionist do?
As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. There will likely also be some ad hock cleaning, lifting, standing, and any other assistance required by the technicians or veterinarian.
To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role ranges from 35-42 hours a week.
Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
You will not oversee technicians, medications, or phone diagnosis.
Responsibilities
- Greet and welcome clients with a positive, helpful attitude as soon as they arrive at the office
- Announcing clients as necessary.
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Keep updated records of office expenses and costs
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Assisting with a variety of administrative tasks including copying, faxing, taking notes, and making travel plans.
- Performing ad-hoc administrative duties.
- Provide excellent customer service.
- Scheduling appointments.
- Keep detailed and accurate records of visitor requests and of calls received
Requirements and skills
- Competency in Microsoft applications including Word, Excel, and Outlook.
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Positive Customer service attitude
- Prior experience as a receptionist or in a related field is nice but not required.
- Good time management skills.
- Experience with administrative and clerical procedures.
- Able to contribute positively as part of a team, helping out with various tasks as required.
- High school diploma or general education degree (GED) preferred but not required
- Strong phone skills
- Demonstrated ability to read, write, and speak English
- Comfortable multi-tasking and prioritizing tasks without guidance
- Excellent interpersonal skills
- Punctual with strong attendance history
Job Type: Full-time
Pay: $14.00 - $17.00 per hour

Office is cleaned every night and clients, for the most part, now wait in their cars rather than in the office. Masks are not required, but strongly recommended.
