The Secretary responsibilities play a crucial role in the effective and smooth running of the organization. Cross training of all secretarial tasks is required to support co-workers and insure the front office operates efficiently when absences are necessary. The responsibilities are comprised of assisting customers/guests as they check in, check out, and maintaining client records in order to insure clinical and medical staff have the information necessary to provide quality services. All processes will be performed as identified in Board policies and procedures, Corporate Compliance, HIPAA policies and in compliance with all applicable laws.
Duties and Responsibilities
· Area of responsibility: Learns and maintains knowledge of office operations and procedures to insure organizational effectiveness and efficiency. (Examples of tasks: follows processes such as Billing and Collections, Check In and Check Out processes, Records policies and processes, Administrative processes such as petty cash, ordering of supplies, etc.)
· Areas of responsibility: Practices excellent guest relations and superior customer service. (Examples of tasks: immediately acknowledges and welcomes persons as they come to Check In window; interacts with customer/guest in a calm, attentive and welcoming demeanor; answers questions professionally and if the answer is unknown assure customer/guest that the answer will be researched and relayed as soon as possible; answers phones as quickly as possible and interact with the caller in a calm and engaging manner; checks on customers who have been waiting for an extended period of time in the lobby; immediately acknowledges customers as they come to the Check Out window or Records window; insures interaction with the customer/guest is a positive experience.)
· Areas of responsibility: Performs own assigned duties within established deadlines. (Examples of tasks: performs advanced secretarial duties including Check In/Out or Records duties, gathers pertinent client information for case record, statistical forms, insurance forms, and other applicable forms; performs data entry, answers phones; schedules appointments; collects fees and copays; daily balancing of cash receipts and activity entered, monitors billing forms and check out slips for completeness and accuracy of coding (alerts clinical staff of errors), files documents in case record; scans documents into electronic record; pulls records for clinical and medical staff schedules and other needs; retrieves records for auditors and others with appropriate access; transfers record to other locations as needed; prepares releases and requests for outgoing record documents; divides records when needed.)
· Area of responsibility: Provides general clerical support. (Examples of tasks: Covers Check In, Check Out and Records duties as needed. Perform secretarial functions that enable clinical and medical staff to provide quality services and meet their performance goals.)
CRITICAL TASKS: Office operations; receptionist; account receivable duties; guest relations, records. Must demonstrate and continue to show merit.
Job Type: Full-time
Pay: $12.50 - $13.46 per hour

Experience:
