Summary

This position organizes and supervises the assigned daily operations of the golf property, related facilities and performance of the golf clubhouse. The Golf Operations Coordinator is responsible for managing all aspects of the outside service operations, as well as assisting the Golf Operations Manager with Golf Shop, Tournament Operations, and Golf Cart Fleet Maintenance. The primary responsibility is to oversee daily golf operations while providing excellent customer service to the patrons of Sandhill Crane Golf Club. This position is an exempt, non-bargaining position within the Community Services division.

Qualified candidates may have a separate teaching agreement with limitations set forth and determined by the General Manager following a mandatory probationary period At this time, the employee must be a level 2 or higher Associate in good standing with the PGA or LPGA Class A program or similar/equivalent teaching or learning program as approved by the General Manager.

SUPERVISION RECEIVED:
This position is supervised by the Golf Operations Manager.

Essential Function Duties and Responsibilities

  • Follows and enforces all procedures and policies as described in the Sandhill Crane Golf Course Manual, as well as the Community Services Division procedures and the City of Palm Beach Garden’s Policies and Procedures
  • Must have a working knowledge of general maintenance and safety procedures to provide effective daily operation of the facility
  • Has a working knowledge of the fiscal impact the daily operations and management decisions have on the budget and makes decisions in the best interest of the operation and the City of Palm Beach Gardens
  • Acts as a productive committee member when assigned
  • Oversees all outside service attendants and any added positions to the outside service staff
  • Explains and enforces golf course rules and regulations
  • Responsible for supervising and addressing issues of the day-to-day operations as assigned and the overall monitoring of facility operations to ensure the highest level of service to the patrons of the golf course and clubhouse
  • Knowledgeable in all areas of operations and is able to assume any position in the event of staffing shortages to meet the needs of the operation and customer service standards
  • Identifies possible areas of concern within daily operations and recommends solutions to resolve these concerns
  • Conducts training of staff as assigned and is responsible for the communication between the Management Team and all staff outside of the Golf Shop Staff
  • Responsible for the scheduling of all part time employees, volunteers, and contractual workers throughout the division
  • Organizes and facilitates an active tournament schedule, which includes tee time assignments, creation of rules sheets and score cards; demonstrates the ability to make rules decisions when applicable; reconciles tournament results and payouts; and implements and oversees on-course golf activities and special events
  • Assists the Golf Operations Manager and other Golf Management with the coordination and set up of all tournaments, leagues, events, and programs
  • Ensures Golf Cart Fleet is thoroughly cleaned, and stocked with pencils, scorecards, sand, etc.
  • Communicates with Golf Course Fleet Mechanic regarding any issues with the golf cart fleet to ensure optimal operation
  • Assists with the coordination of the workflow and operating efficiency of the golf course
  • Supervises on-duty operations staff to ensure customer service levels are being met and standard operating procedures are being utilized
  • Performs routine quality control checks of the facility and operation frequently during shift
  • Manages, coordinates, and reports any purchases for operational/ facilities supplies as needed in compliance with the City’s Purchasing Policy
  • Acquires supplies and places orders for materials needed for the operation in compliance with the City’s Finance, IT, and Purchasing departments and exercises their best judgement and knowledge of policies to make operational decisions and give direction on daily operations to staff
  • Responds to public inquires in a positive manner maintaining the highest degree of professionalism
  • Fields questions, concerns, and complaints related to course operations and utilizes knowledge and professional skill to solve issues in a timely manner
  • Maintains an effective and open line of communication with the Golf Operations Manager, Head Golf Professional, and Director of Golf
  • Responsible for updating, maintaining, and sharing their work calendar with the rest of the Golf Management Team as it pertains to staff and vendor meetings, conferences, tournaments, and other assigned work responsibilities
  • Performs various administrative duties as assigned and assists as support staff when necessary
  • Prepares a variety of reports; including incident reports, daily rounds reports, and tee sheet management reports
  • Participates in planning and staffing the staging and execution of special golf events
  • Acts as a backup to the Golf Operations Manager in their absence
  • Trains and manages staff on the use of various software systems in place at the golf club
  • Attends and participates in scheduled management meetings with an operational summary analysis
  • Represents the division at interdepartmental meetings as assigned
  • Acts as Manager on Duty and monitors all daily operations of the course as needed
  • Performs any other related duties as required or assigned
PERIPHERAL DUTIES:
  • Assists with various peripheral duties including the picking up of supplies, ordering materials, running errands, arranging for the rental and/or maintenance of equipment and coordination of special events
  • Composes and edits correspondence, reports, memoranda, and other material requiring managerial judgment as to content, accuracy, and completeness
  • Ability to provide backup to related positions as division needs require
  • Ability to operate a City vehicle as division needs require
  • Responds to emergency operations as assigned and serves as an Emergency Management Team Member under the City’s Emergency Management Division when activated before, during, and after a natural disaster or emergency

Minimum Qualifications

  • Three to five years of managerial or supervisory experience, preferably in golf or recreation
  • PGA Class A certification and/or degree from an accredited college or university in a golf related area preferred
  • Two years of experience working at a golf facility, preferably in a managerial role with a working knowledge of tournament operations, outside services, tee sheet management, and related daily golf operations
  • Any related combination of training and experience

Special Qualifications/Preferences

Current Certifications in the following or ability to obtain within 6 months:

  • CPR (required)
  • First Aid (required)
  • AED Training (required)
  • PGA Class A Member or Class B Associate status (preferred)
  • Must present originals or copies of both sides of all certifications or obtain within six months
  • Valid State of Florida Driver’s License with a good driving record (required)


Eligibility: Coverage in the City’s group insurance plans begins the first of the month following thirty (30) days of employment.

Health Insurance: Choice of three (3) plans provided through Florida Blue. Employee contributions are required toward the cost of this insurance on a bi-weekly basis as follows
