Departmental Overview
Physics is the largest department in the L&S Division of Mathematical and Physical Sciences. It is ranked as one of the top physics departments in the world, with excellence in research, teaching, and service to the community. The department has 80 ladder and active emeriti faculty, 60 career and casual staff, and 300 lecturers, teaching assistants, readers, research personnel, postdocs, fellowship recipients, and visiting scholars. It enrolls 270 graduate students, 250 undergraduate majors, and over 7,000 students in its courses, many with laboratory sections. Its faculty fully participates in teaching and administration and conducts world-class research in campus, local, national, and international laboratories and sites; research activities require active financial arrangements with organizations such as Lawrence Berkeley National Lab. Physics manages three distinct campus buildings in its facilities complex with 240,000 assignable square feet, and it also houses and provides services to several research centers and laboratories with varying physical environments.
Reporting to the Assistant Director of Student Services, this position plays a key role in graduate student recruitment, orientation, advising, and events. This position also leads the recruitment, hiring, and support of academic student employees for the department.

Responsibilities
50% Financial Aid: Oversees the administration, evaluation, and awarding of student fellowships, grants, scholarships, and other awards; advises students on financial aid options on campus and extra-mural fellowship opportunities; oversees processes for equitable assignment of GSIs and coordinates GSI assignments each term.
Fully responsible for all processes related to equitable assignment of approximately 200 GSIs and 5-10 UGSI per year and coordinates GS/UGSI assignments each term including summers. Plans and implements organizational meetings; analyzes, interprets and implements regulations related to ASE hires; identifies Head GSIs, oversees nomination and selection of Outstanding GSI Awards. Manages GSI compliance reports.
In collaboration with undergraduate SSA3, recruits and hires Reader ASE appointments based on course enrollments and needs.
Processing, evaluation, and awarding of student fellowships, grants, scholarships, andother awards.
Advises students on financial aid options on campus and extra-mural fellowship opportunities.
15% Academic Advising: Advises faculty on departmental/school/college and university policies and procedures; reviews students' progress and advises students and faculty on requirements for degree/program completion; identifies students with progression problems and recommends interventions.
Within an academic department/school/college, provides and makes recommendations for the improvement of the following programs: Academic Advising: Advises faculty on departmental/school/college and university policies and procedures using seasoned skills.
Provides advice and assistance to students on academic and degree progress and program requirements.
Assists students in determining academic programs, alternative academic options, resolve scheduling conflicts, and similar issues.
Advises new, continuing, and all prospective students, parents, faculty, staff, and other educational institutions on academic program and College and University requirements making appropriate referrals to campus offices as necessary.
Reviews graduate students' progress and advises students and faculty on requirements for degree/program completion.
Tracks and evaluates completion of requirements and processes MA degree petition on a semester basis.
Identifies students with progression problems and recommends interventions.
Responsible for interpreting campus policies and advising students and faculty on student conduct, student grievances, disputes, and issues regarding discrimination, harassment and mental health matters.
15% Recruitment and Admissions: Plans and implements outreach programs with specifically targeted institutions; advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; utilizing in-depth knowledge of the organization's admissions criteria, helps rank applicants for admissions; evaluates domestic and international transcripts for degree eligibility; initiates and arranges student recruitment visits to Berkeley.
Plans and implements outreach programs with specifically targeted institutions and students (URM).
Advises prospective applicants on necessary academic preparation, appropriateness of program as it pertains to the prospective applicant's goals.
Evaluates domestic and international applicants' transcripts for admission eligibility.
Provides direct advice and counsel to Dept. Chair, Vice of Instruction, Summer Chair, Head Faculty Adviser and Diversity Coordinator for Physical Sciences, Diversity and Education Outreach Chair, Director of Administration, Campus Compliance Officer, UC Extension and Student Services Supervisor on all matters related to diversity and outreach.
15% Course Scheduling & Events: Devises curriculum planning in collaboration with chair/dean and faculty, and with other departments, to ensure students' progress through course sequences, avoiding conflicts, and ensuring compliance with campuswide policies. Plans and implements complex, high visibility events, such as commencements.
Back up scheduler for all special events and one-time room requests for the Department. Events include but are not limited to midterm reviews, final exams, special talks/lectures, workshops and commencement.
Updates and maintains website information for all matters related to graduate program including but not limited to course curriculum and graduate student handbook.
Coordinates, manages and maintains all Graduate Student Instructor office and course center space.
Manage GSI building and office key access including advising ensuring safety protocols are met.
Attends and supports Student Services events including Undergraduate Advising at CalDay as well as other department events; assists undergraduate SSA3s on all aspects of events as needed, including Commencement.
Manages all aspects for GSI teaching evaluations.
Student Orientation: Oversees and may conduct orientations of new students.
5% Plans, designs, and provides workshops for students, such as information about the campus, or academic strategies and enrichment programs.
Required Qualifications
Bachelor's degree in related area and/or equivalent experience/training.
Working knowledge of advising and counseling techniques.
Solid verbal and written communication skills.
Interpersonal skills.
Multicultural competencies; ability to work with diverse populations.
Ability in problem identification and reasoning; ability to develop original ideas to solve problems.

The budgeted salary or hourly range that the University reasonably expects to pay for this position is $65,000 to $80,000 annually. This is a 100% FTE career appointment eligible for full benefits.
