We are a fully integrated sand supply and services company, offering complete sand, logistics, storage, and management solutions to our customers with our in-basin trans-loading terminals and our smartsystem storage capabilities. We own and operate premium frac sand mines and related processing facilities in Wisconsin and Illinois, which have access to three Class I rail lines, allowing us to deliver products substantially anywhere in the United States and Canada.
We are currently looking for an HR & Plant Coordinator to join our Blair team.
The role of the Human Resources and Plant Coordinator is to ensure the efficient and timely operations of the Blair office and to support the Corporate Human Resources department.
The Human Resources and Plant Coordinator will have a dual report work under the supervision of the Maintenance Manager and Corporate Human Resources Manager but will require taking direction from other Smart Sand managers.
This position is based at our Blair, WI location.
Human Resources
- Process, verify, and maintain documentation as it relates to Blair personnel activities.
- Assist in answering employee queries about HR-related issues.
- Assist in benefits administration including open enrollment administration and communicating benefit information to employees.
- Process payroll changes and new hires in ADP.
- Assist in maintaining the human resource information system and compile reports from the ADP database when requested.
- Assist in the recruitment process, including but not limited to: saving applicants in the appropriate recruitment folder, sorting resumes, conducting telephone interviews, scheduling interviews, checking references, returning applicant calls and utilizing the applicant tracking system, and verifying employment applications.
- Organize and maintain employee mail files located in the front office.
- Run the weekly paid time off (PTO) balance report through ADP and release to Blair Management.
- Run the weekly overtime hours report through ADP and release to Blair Management.
- Maintain and update the Sick Call Tracking Log located on SharePoint. Alert the Blair Management team and Corporate HR to any excessive, late, or questionable call-ins.
- Assist in the Blair new hire onboarding process by coordinating pre-employment appointments and printing materials.
- Conduct new hire orientations for new plant staff.
- Coordinate the boot truck program.
- Maintain the employee birthday calendar and coordinate the birthday cards.
- Maintain the employee PTO calendar.
- Perform all other duties as assigned.
Plant
- Greet and direct visitors and employees.
- Manage all phone calls:
- o Answer, screen, and transfer phone calls in a professional and cordial manner.
- o Take messages and field/answer questions.
- o Coordinate a daily phone schedule with other Smart Sand Administrative Assistants to insure continuous phone coverage, Monday through Friday 7:30 a.m. to 4 p.m. (Central Time). The schedule is subject to change.
- Organize and maintain files and company documents.
- Resolve administrative problems and inquiries.
- Maintain inventory of office supplies by working with the Warehouse and Purchasing Specialist.
- Sort and distribute all Plant mail.
- General clerical duties including photocopying, faxing, and mailing documents.
- Work cooperatively to comply with facility-wide environmental and quality management systems.
- Perform all other duties as assigned.
Education and Experience
- Bachelor’s degree in Human Resources, Industrial Relations, Business Administration, Psychology, or a related field.
- Minimum of 1 year of previous experience in a Human Resources Role required.
- General knowledge of HR laws, practices, and policies is required.
- Prior office experience is required.

- Proficient in MS Office programs.
- Good judgment is required.
- Must be adaptable and have the ability to work in a fast-paced environment are essential.
- Practical problem-solver, highly organized, self-motivated, and have great people skills.
- Excellent oral and written communication skills are required.
- Attention to accuracy and detail is essential.
- Excellent organizational skills.
- Ability to prioritize tasks and handle numerous assignments simultaneously.
- Strong interpersonal skills both oral and written.
- Self-starter with the ability to work with limited supervision to meet deadlines.
- In-depth knowledge of computer systems, especially the Microsoft Office suite.
