Purpose Statement
The Human Resource Services Technician provides technical support to the delivery of human resource services and department staff, provides information to applicants and employees, maintains records, performs office support functions, prepares a wide variety of reports, assists the general public, and completes assigned projects and tasks.
This position reports to the Director of Human Resource Services.
Minimum Qualifications
- High school diploma or equivalent
- Ability to pass a fingerprint and criminal background check
- Two (2) years of job-related experience
- Proficient in Microsoft Office Suite and experienced using data-based software
- Speak, read, write, and present professionally, analyze and interpret English written and verbal communications
- Ability to operate standard office equipment; phone, copy and fax machines etc.
Preferred Qualifications
- PHR/SHRM credentials
- Bachelor’s Degree in related field
- Knowledge of PowerSchool (Enterprise), Business Plus, and Kronos
- Intermediate level Microsoft Office Suite skills
- Experience in a K-12 education or public employment environment
- Spanish or other language proficiency, including ability to read, write, speak and understand
Essential Functions
- Assist with employment process (e.g. screening data entry, callbacks, scheduling interviewing, notification, posting of recruitment announcements, employee orientation, etc.) meeting district staffing requirements while complying with established guidelines
- Compile data from a variety of sources (e.g. applicants, employees, outside agencies, etc.) for the purpose of complying with financial, legal, and/or administrative requirements
- Coordinate Human Resources processes (e.g. appointments, background checks, fingerprinting, meetings, room usage, district activities pertaining to Human Resources, etc.) for the purpose of ensuring daily operational needs are met
- Complete regulatory tasks (e.g. I-9, E-Verify, fingerprinting, badges, verification of employment, Cactus, Department of Workforce Services reports, etc.) for the purpose of ensuring district compliance and reporting
- Cross train on other technician duties to support HRS and SLCSD employees as needed
- Enter and update employment data in Business Plus for the purpose of hiring, reporting, and administrative requirements
- Maintain an inventory of items (e.g. personnel forms, etc.) for the purpose of ensuring availability as needed
- Maintain a variety of employment files (e.g. applicants, seniority and eligibility lists, board reports, employee records, wage, probationary period and eligibility records, etc.) for the purpose of ensuring accuracy of employee’s compensation, maintaining eligibility for position and complying with mandated requirements
- Maintain regular and predictable attendance for the purpose of fulfilling job requirements efficiently and effectively
- Manage data entry for CACTUS/USIMS for the purpose of compliance and reporting
- Participates in meetings, workshops, seminars, as assigned for the purpose of conveying and/or gathering information required to perform functions.
- Perform record keeping and clerical functions (e.g. data entry, scheduling, copying, faxing, etc.) for the purpose of supporting department staff
- Prepare a variety of reports and related documents (e.g. staff reports, leave of absence forms, recruitment information, etc.) for the purpose of providing documentation and information
- Process documents and materials (e.g. applications, certified recommendations to hire, changes in employment status, payroll changes, substitute hiring, etc.) for disseminating information to appropriate parties
Process lane change applications, verifications of employment, and public service loan forgiveness forms for teachers and administrators for the purpose of ensuring proper pay to employees
Process and convert teacher absence and substitute payroll data from the SmartFind substitute system to Business Plus for the purpose of providing the payroll department required information to pay employees properly
- Provide technical support and system knowledge for the SmartFind substitute system to substitutes, teachers, administrative secretaries, and administrators
- Respond to written and verbal inquiries from a variety of internal and external sources (e.g. parents, community stakeholders, employees, students, etc.) for the purpose of providing information and referral
- Serve as back-up and support for employment processes such as scheduling, fingerprinting, customer service via phone, email, and in-person, to ensure daily operational needs are met.
- Support assigned administrative personnel for the purpose of aiding with administrative functions
- Communicate effectively with diverse individuals and groups of people while maintaining confidentiality and building positive working relationships with employees and stakeholders.
- Participate in meetings, workshops, seminars, as assigned for the purpose of conveying and/or or gathering information required to perform functions.
- Work under limited supervision, utilizing time-management and prioritization strategies, accurately processing detailed information and meeting deadlines.
- Support a team environment by collaborating with own and other work units to effectively perform the duties of the position.
- Adapt to changing work priorities and work with frequent interruptions, as required.
- Maintain regular and predictable attendance to fulfill job requirements efficiently and effectively.
- As needed, roll, push, pull, bend, reach, stoop, and lift up to 30 pounds.
- Other duties as assigned.
Working Environment
The usual and customary methods of performing the job’s functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally, the job requires 60% sitting, 20% walking, and 20% standing. This job is performed in a generally clean and healthy environment.
