TITLE: Human Resources ASSISTANT (Internal)

QUALIFICATIONS: 1. High school diploma plus specialized training of one to two years.

2. Proficiency with keyboarding.

3. Prior experience in productivity applications and electronic communications.

4. A minimum of three years of practical work experience in the secretarial field.

5. Compliance with Employment Eligibility, all required background clearances, and Physical Examination/TB test standards.

6. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

SUPERVISED BY: Director of Human Resources

JOB GOAL: To ensure the efficient operation of the Office of Human Resources in all matters dealing with personnel, the community, and the educational process of the District.

A. ESSENTIAL JOB FUNCTIONS:

  • Performs the following tasks: proofreading; filing in a five-drawer file cabinet; filing and storage on nine-foot high shelves, standing to operate copier and collate materials, handling mail, operating paper cutter and paper drill; transporting up to ten reams of paper and printed material to office; assuring readiness of office equipment.
  • Assists administration in monitoring and screening all visitors to the building.
  • Reads and correctly interprets written directions and performs accurate computations related to the functions of the position.
  • Receives and responds to any/all communications of a personnel nature, with an emphasis on current District personnel and necessary certifications and other requirements.
  • Manages and coordinates operation of personnel database and absence management system, including professional functions, as necessary; oversees maintenance of updated information in system.
  • Prepares Board agendas, including post-Board follow-up activities and updates to electronic databases.
  • Secures and maintains employment records, including employment verification, sick leave verification, tenure, certification, etc., for professional/administrative employees.
  • Assists Director of Human Resources in preparation of District, local, state, and federal reports.
  • Prepares staffing related documents, including those related to wages, leave entitlements, and seniority.
  • Prepares and maintains filing systems for the Office of Human Resources, including annual purging and updating of all personnel files.
  • Processes requests for tuition reimbursement and repayment of outstanding obligations upon separation from employment.
  • Oversees various training and clearance renewals and communicates with employee to ensure compliance.
  • Maintains the essential functions of the office in the absence of other secretaries.
  • Performs telephone and receptionist duties as needed.
  • Participates in required staff development activities.
  • Promotes positive public and employee relations for the District through courteous and efficient handling of contacts and communications while serving as a resource person on District policies, procedures, rules, and regulations as relevant to the position.
  • Works during established operating hours and works extra time as needed and approved.
  • Ensures the highest degree of confidentiality appropriate to the position.
  • Complies with the provisions of the Pennsylvania School Code, District Board policies, and the Non-Bargaining Support Personnel Handbook.
  • Performs such other tasks and assumes such other responsibilities as may be assigned by the Director of Human Resources.

TERMS OF EMPLOYMENT: 1. Twelve month position.

2. Compensation as per District guidelines.

RESPONSIBILITY LEVEL: 6

EVALUATION: Performance of this job will be evaluated by the Director of Human Resources, in accordance with the Board policy on evaluation of support personnel.
