HR & Immigration Coordinator

What You Will Do:

The HR Coordinator is responsible for managing all immigration and payroll related activities for our onsite contractors. This person also serves as a consultant for the internal recruiting team to provide guidance on what would be needed from an immigration perspective for their candidates. The coordinator must work within strict timelines and communicate effectively with all parties to ensure that process is followed, and consistent policies and regulations are upheld both internally and externally. They also must maintain a strong working relationship with internal management to be sure they are providing the services that are best for the individual and for the company’s best interests.


Payroll Responsibilities:

· Process Client Site Staffing organization's payroll and compile payroll data to maintain accurate payroll records for 26 payrolls per year.

· Maintain timecards and payroll processing for onsite employees

· Audit timecard information for accuracy between Altair timekeeping system and onsite client timekeeping system

· Work with Altair billing department to reconcile errors

· Maintain detailed records and prepare communications and reports as needed

· Assumes additional responsibilities and performs special projects as needed

· Maintaining timecard & expense report follow up, verification & discrepancies


Immigration Responsibilities:

· Overseeing the process for candidates who need assistance with work-authorization visas (such as H1, L1, TN, etc.) employment authorization status (EADs), and permanent residency and employer sponsored green card processes

· Assist with any dependent visas as needed

· Consult with candidates who may need immigration assistance to be sure managers and recruiters understand what is needed from a cost perspective.

· Work with attorney to stay up to date on current regulations that may impact the company. Ensure that the company has an overall consistent process in handling of immigration cases, compliance with policies, legal verbiage and agreements

· Manage immigrations cost and review processes for any potential cost savings

· Operate as a consultant to the business to create strategies on reliance of foreign nationals for our workforce.

· Responsible for ensuring immigration files are complete, updating visa information in the tracking system and creating reports

· Establish process and workflows related to immigration applications and identify areas for improvement

· Assist visa applicants with gathering and preparing the documentation needed for immigration petitions

· Assisting candidates who require work-authorization visas (such as H1, L1, TN, etc.) employment authorization status (EADs), and permanent residency and employer sponsored green card processes


Other Responsibilities:

· Assist Recruiting with entering positions in the Applicant Tracking System

· Maintaining confidential employee personnel folders

· Coordinating client audits and internal audits

· Responding to employee inquires related to employment verifications, timecards, payroll, benefits, etc.

· Assumes additional responsibilities and performs special projects as needed

· Consult with attorney to stay up to date on current regulations that may impact the company.

· Maintain the integrity of working documents and update documentation when needed or


What You Will Need:

Basics:

· Must have a bachelor’s degree, HR preferred

· Previous experience with gathering and preparing immigration documentation, must fully understand the immigration visa process

· Previous experience processing payroll

· Detail Oriented

· Excellent interpersonal skills and customer service
