Job Purpose:

The Human Resource Coordinator will assist in the efficient and smooth operational functioning of the Human Resources Department at Nestle USA. This role provides a high degree of administrative, training, and clerical support to the Human Resources function and is responsible for leading and coordinating various projects. This position is based at Nestle’s Corporate Office in Arlington, Virginia. Candidates must be willing and able to work up to 5 days a week (Monday to Friday) at a time in office based on the needs of both the HR team and the business.

Responsibilities:

Administrative Support :

  • Provide administrative assistance to HR Team including supply orders, shipping, communication, files, scheduling meetings.
  • Maintain department mail received at location.
  • Coordinate meetings/food as needed by the Human Resources Team and Lead Coordinator.
  • Create, maintain, document, and update HR processes as needed.
  • Manage Purchase Card for the Human Resources Department.
  • Manage Purchase Order (PO) process for HR along with other Coordinators across the function.
  • Support HR team during high volume times and on projects where needed.

HR Function Support :

  • Responsible for planning, leading and managing several employee and community events per year and ensuring that each event is representative of the company’s image, culture and mission.
  • Prepare and maintain reports from SAP Master Data, new-hire, transfer, and termination reports.
  • Maintain and update company organizational charts.
  • Communicating with employees regarding policies and procedures.
  • Other projects and responsibilities as assigned, including announcements, employee distribution lists.
  • Perform additional duties and tasks as assigned by the Director of HR and/or the HR Leadership team.

Requirements:

  • High School Diploma or GED required; Bachelor’s degree preferred.
  • 2+ years of administrative assistant and/or office management experience in a Corporate environment preferred.
  • Fluency in MS Office (Word/Excel/Outlook/PowerPoint) required.
  • Ability to exercise and maintain a high degree of confidentiality required.
  • Must have excellent time management, organizational and interpersonal skills.
  • Must have strong communication (oral and written), stakeholder management and presentation skills.
  • Must have strong mathematical and analytical skills, as well as must be detail-oriented.
  • Willing and able to work under pressure to meet tight deadlines with minimal supervision.
  • Knowledge of SAP or SuccessFactors and SAP Concur systems is highly desired.
