GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES

An employee in this confidential classification will perform a variety of clerical and administrative support work assignments that are human resources or personnel related in the Civil Service Department.

ILLUSTRATIVE EXAMPLES OF WORK

Administrative and clerical support during the entire Civil Service hiring process; manage and administer select HR programs (e.g., new hire orientation, Employee Service Recognition program, EAP, unemployment, medical, dental and vision insurance, tuition reimbursement, etc.); process wage and classification changes; respond to employee inquiries regarding employment, salary and benefits, labor contracts, and other pertinent information in person, by phone, or by email; process verifications of employment; provide backup for other department members; and other related duties, as assigned.

MINIMUM QUALIFICATIONS AT TIME OF APPLICATION

By closing date of this announcement, an applicant must:

  • Be a citizen of the United States or resident alien with the right to work in the United States; and
  • Have a high school diploma or valid equivalency certificate; and
  • Have a minimum of three years of current, full-time, paid work experience using personal computers with intermediate to advanced Microsoft Office skills; and
  • Have one of the following:
  • A minimum of an associate degree and three years of current, full-time, paid work experience in either a Human Resources clerical position or Administrative Assistant work; or
  • Five years of current, full-time, paid work experience in either a Human Resources clerical position or Administrative Assistant work.

PARTS OF EXAMINATION AND WEIGHTS:

Performance Test – 20% Interview – 80%

In the event the number of qualified candidates exceeds 15, an evaluation will be made and the 15 candidates with the most appropriate and relevant combination of education and experience will be invited to the performance test. Candidates must pass the performance test and interview in order to be placed on the eligible list.

KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge of:

  • Microsoft Office
  • Proper office etiquette, practices, and procedures

Skills:

  • Type a minimum of 45 words per minute without error
  • Communicate in a professional and polite manner with all employees, residents, vendors, and the public
  • Consistently maintain professional composure in all situations
  • Exercise independent initiative and judgment
  • Establish priorities for own workload based upon such factors as needed for immediate action, work objectives, and work schedule

Ability to:

  • Always maintain confidentiality
  • Provide high-level, employee-driven customer service
  • Be a cooperative team player who also works independently
  • Learn human resources policies and procedures through written source documents, observation, and verbal instruction
  • Work safely without presenting a direct threat to self or others

NOTE: At the time of appointment, applicants are required to pass a pre-employment medical examination conducted by a physician authorized by the City of Livonia.

PURPOSE: The purpose of this examination is to establish an eligible list to fill current, future, regular, and/or temporary vacancies.
