Job Description: IEP and Data Coordinator

Reports to: Assistant Director of Educational Programming
Status: Full Time- 12 Month

Job Summary:

  • The IEP and Data Coordinator works as a contributing member of the educational programming team.
  • The IEP and Data Coordinator will ensure accurate documentation in terms of editing and delivery of IEPs, progress reports, evaluation/reevaluation, etc. including coordinating and monitoring timelines for reevaluations, annual IEPs, newly enrolled student reevaluation reports and IEPs, progress reports from all IEP team members as well as scheduling IEP meetings in conjunction with the Educational, Behavioral, and

Clinical Programming departments.

  • The IEP and Data Coordinator will organize and implement, under the Educational

Programming department Director and Assistant Director and in conjunction with the teachers, data collection procedures for IEP development and progress monitoring. The data will be collected using a combination of curriculum-based assessments, and standardized benchmark, diagnostic, formative, and summative assessments delivered on a regularly reviewed schedule.

  • Under general direction, perform a wide variety of highly independent, and complex administrative support services for the Educational Programming department.
  • Individuals in this position must apply exceptional attention to detail, strong organizational and communication skills, and various strategies to analyze comprehensive data tracking systems.

Qualifications:

  • Minimum of a Bachelor Degree in the field of Special Education
  • Experience with writing and/or reviewing high quality IEPs
  • Experience with progress monitoring and data collection
  • Experience with collecting and analyzing data from a variety of sources
  • Current (dated within a year) Act 34, 114, and 151 clearances

Essential Duties And Responsibilities:

  • Generating reports, verifying accuracy, analyzing the data, presenting the information succinctly to senior leadership and providing recommendations for improvements. This role will collaborate with instructional staff, related service providers, and the department directors to ensure we are compliant and providing legally defensible IEPs and progress monitoring data.
  • Provide training in IEP data collection processes, goal writing, and other IEP related skills.
  • Oversees the maintenance of records and compliance for special education students.
  • Oversees the development of and reviews all school Individualized Education Plans

(IEPs) to ensure quality and compliance; ensures the accuracy and privacy of all student information.

  • Directs and monitors record keeping performed by staff for required data and ongoing evaluation of program effectiveness.
  • Conduct periodic reviews of student records to ensure alignment with general compliance needs, prior trainings, and/or corrective actions requested
  • Articulate and advocate the mission and vision of ASUA for students, families, staff, and community and positively participate in a team environment with a strong focus on culture
  • Manage professional relationships with parents, staff, parents, and other stakeholders
  • Assist in IEP fidelity process of ensuring all IEP related services frequencies, SDI’s, and any necessary attachments (PBSP, sensory diets) are up to date and accurate
  • Assist in coordinating continuous improvement with progress monitoring systems
  • Research and assist in the implementation of technology-based data collection systems
  • Demonstrates expert knowledge of scientifically-validated assessments, intervention program, and service delivery strategies found to benefit children with ASD and other developmental disabilities through assistance with editing special education documentation.
  • Ability to build strong, supportive relationships with administrators, staff, parents, and other caregivers; respect for cultural diversity
  • Excellent written and verbal skills; detail oriented.

Additional Duties and Responsibilities:

  • To read and abide by the Employee Handbook including updates and changes.
  • To attend all mandatory meetings, including those that fall outside of regularly scheduled school hours and as described in the Employee Handbook.

  • Assist in maintaining a safe facility.
  • This position works independently, under general direction, and is expected to determine how to accomplish tasks.
  • Travel between campuses and directed or needed.
  • Duties can be performed in the building, community, or in other off-campus locations.

Physical Requirements:

  • Sitting, standing, lifting and carrying (up to 50 pounds), reaching, squatting, climbing stairs, kneeling, and moving light furniture may be required. Adequate vision and hearing ability for monitoring children’s verbal and non-verbal responses. Ability to provide a quality behavior model for students and staff.

Safety and Health:

  • Knowledge of universal hygiene precautions.
  • Knowledge of best practices regarding behavioral de-escalation and safety protocols.

Equipment/Material Handled:

  • The IEP and Data Coordinator shall be assigned a variety of evaluation and consulting materials which are to be appropriately stored and accounted for. All media resources and borrowed material are to be judiciously used, and are to be maintained in a reasonably unsoiled and non- damaged fashion. Must know how to properly operate or be willing to learn to operate all multimedia equipment including current technology.
