JOB TITLE: IMESD Receptionist and Building Coordinator, LaGrande Building
DEPARTMENT: EI/ECSE and Instructional Services
REPORTS TO: Director of Student Success and Equity, Diversity & Inclusion

SUMMARY:
Serve as administrative assistant to the Director of Student Success and Equity, Diversity & Inclusion and as the Receptionist and Building Coordinator at the IMESD LaGrande building. Possess the stamina and work ethic to fulfill the essential duties and responsibilities of this position.

WORK EXPERIENCE:
- High School Diploma
- Minimum of 1 year of relevant experience and/or training, or equivalent combination of education and experience.
- Experience working in an educational environment preferred
SKILLS:
- Ability to work cooperatively and independently
- Ability to work collectively with the administrative team and its associates
- Strong interpersonal, written and verbal communication skills
- Computer Skills: Microsoft and Google
- Familiar with financial platforms and purchase order processes
- Excellent phone etiquette
- Strong organization, attention to detail, and ability to multi-task

RESPONSIBILITIES and ESSENTIAL FUNCTIONS:
- Function in a highly professional manner and maintain confidentiality regarding children, families, and staff.
- Professionally greet visitors, connecting them to the appropriate person/location, and administer and direct all incoming calls.
- Professionally cope with angry/upset individuals that call or visit the LaGrande Building.
- Maintain building security by monitoring visitor access, issue visitor guest passes when required, and maintain security awareness.
- Provide administrative support for staff overseeing grant and initiative programs within Instructional Services
- Manage and maintain transcripts.
- Provide support for staff by requesting documents, sending, receiving, and delivering faxes and emails, copying, proofreading, creating materials, and sorting and preparing incoming and outgoing mail and deliveries.
- Monitor and order office supplies.
- Type grammatically correct emails, memos, correspondence, reports, and other documents.
- Review and process timesheets, reimbursements, and staff conference forms.
- Create and complete purchase orders, reconcile credit card statements, submit for payments, and run budget account reports.
- Process and complete registrations, reservations, and arrange out of district travel for .
- Coordinate, reserve, and prepare facilities and meeting spaces.
- Organize and coordinate delivery of Virtual Learning Academy supplies in Union County.
- Provide Union County IMESD board members support during monthly board meetings.
- Provide Union County school district superintendents support during monthly meetings.
- Manage use and maintenance of IMESD LaGrande vehicles.
- Work with Human Resource and Director for onboarding new employees.
- Complete Strategic Energy Management duties.
- Support families in registering for homeschool. Maintain and report homeschool records.
- Perform other duties that the Supervisor may assign to meet demands placed on the organization.

- Maintain the integrity of confidential information relating to data, students, parents, staff or IMESD patrons
- Fulfill duties associated with Mandatory Reporting for suspected child abuse or neglect.
- Have regular and punctual attendance at work and work activities, punctual in meeting deadlines, attending meetings, following schedules, respond to management directions and solicits feedback to improve performance
- Develop job skills necessary to meet changes in the position
- May be required to travel to and from school locations in the IMESD service area and may be required to travel on overnight assignments

WORKING CONDITIONS:
- This position involves working at IMESD’s LaGrande Building
- This position is a full time. The typical workweek is M-F, 8 hours a day.
- Any changes in contract days will be stipulated in each individual contract. Salary and benefits to be established by the IMESD Classified Association in accordance with negotiated agreement with the IMESD Board of Directors. Schedule and assignments to be established by Directors and /or Assistant Superintendent
