GENERAL FUNCTION
The Administrative Assistant position, under the direction of the Circuit Court Branch I Judge, is legal administrative in nature, involving responsibility dealing with the court system, public and professionals.
RESPONSIBILITIES
A. ESSENTIAL FUNCTIONS
1. Manages the Judge's court caseload and professional calendar, coordinating and scheduling motions, pre-trial hearings, trials, conferences, and committee meetings; daily management of the trial calendar, continuances and trial orders; assists attorneys and the public with procedures on filing motions and hearing dates.
2. Provides organizational support for the Judge's caseload, tracking case status deadlines, briefs, preparing Orders, e-filing, jury instructions and coordinating any in-house services as necessary. Maintains Judge’s Judicial Dashboard, checking timing and accuracy of documents submitted for Judge’s signature. Monitor case disposition/clearance time limits to insure they comply with State guidelines.
3. Reviews case files for accuracy, format compliance and completeness before scheduled hearings.
4. Acts as the Judge's liaison to assist and inform litigants, attorneys, law enforcement personnel concerning court procedure and policy, keeping in mind the needs, pros, cons, logistics, potential problems and solutions for same.
5. Screens telephone calls and visitors to the Judge's office, provides information, resolves issues, directs caller/visitor to proper personnel or agency.
6. Performs routine clerical tasks such as reviewing, distributing and responding to incoming mail, maintaining files/records, faxing or photocopying.
7. Composes and/or edits correspondence, memoranda, directives, notices, orders, e-mails and other documents observing strict confidentiality.
8. Researches and takes action to manage the flow of assigned cases through the Court system in an efficient manner. Maintains the Court’s calendar, prepares notices of hearings.
9. Interacts with attorneys, litigants and the public to resolve problems such as scheduling conflicts and any other case-related issues
10. Prepare annual Branch I budget and meet with Finance and oversight committee as required.
11. Maintain and schedule cases assigned from outside counties.
12. Update and maintain office reference materials.
13. Order office supplies and equipment as needed.
14. Responsible to know and practice the Safety policies of the County. Perform all job tasks in a safe and prescribed manner.
15. Must be familiar with and exemplify the Wood County Core Values and serve with courtesy and respect in accordance with the Wood County Code of Conduct.
B. OTHER JOB DUTIES
1. Any other duties as may be assigned.
EXPERIENCE, TRAINING, QUALIFICATIONS
High school graduate, or equivalent, preferably 3 years of verifiable legal secretarial experience and considerable knowledge of rules of criminal, civil, small claims, family, paternity, guardianship, juvenile, adoption, termination of parental rights and probate procedures, time limits governing pleadings, hearings and legal filings, court procedures, legal terminology and legal documents. Must accurately and efficiently operate a CCAP computer and software and to learn any changes that may occur. Must demonstrate ability to maintain confidentiality, and to possess a pleasant and professional manner while dealing with the public. Must be a self-motivated and self-supervising individual. Everyday living skills are needed, as is the ability to understand and follow oral and written directions. Reading and writing is needed to understand information contained in legal documents, filing and taking messages.
Basic office equipment used – Computer terminal, CCAP applications, printer, FAX, scanning, microfilm reader and telephone.

Pay: $22.74 - $26.00 per hour
