Leave of Absence Specialist (Hybrid) Job at JCCA
Position Summary:
The Leave of Absence Specialist is responsible for all leave of absences (LOA) administration, and review of requests for reasonable accommodations at JCCA. The incumbent will support managing & tracking compliance of all employee leave of absences such as FMLA, PFL, Disability, WC, and engaging in the interactive process for request for reasonable accommodations, in addition to processing ad-hoc reporting for compliance and auditing purposes with the HRIS, and/or benefit carriers. This work is carried out in support of the mission and goals of JCCA.
Responsibilities:
Employee Leave of Absence (LOA) Administration
- Educate staff and explain in detail applicable leave of absences (LOA) such as FMLA, PFL, STD, COVID-19 Sick Leave, WC, LTD, and all other eligible LOA to inquiring staff.
- Send Employee on LOA notifications & Return to Work notifications to Supervisor/s, HR & Payroll.
- Notify payroll and carriers about medical, PFL leaves and/or worker’s compensation, ensuring timely notification to meet compliance requirements and that staff benefits are not delayed.
- Stay in contact with staff on LOA, answer questions, and provide written documentation on impact of benefits, employment status, etc. Keep staff supervisors, HR & Payroll teams updated on staff LOA’s, such us approved for FMLA, return to work dates or anticipated extended return to work dates.
- Escalate anything in question related to LOA’s as necessary to Director of Human Resources.
- Track all medical leaves and provide reporting as requested.
Reasonable Accommodations
- Provide direction and appropriate forms and letters to staff requesting a reasonable accommodation.
- In collaboration with the Director of Human Resources review, processes and engage with employees in the interactive process concerning their request for reasonable accommodations.
- Document all requests and keep track of approved and denied requests.
Compliance Requirements and File Maintenance
- Act as point person for all worker’s compensation incidents. Report all employee accidents to worker’s compensation, the organization’s Broker or Liability Insurance Company.
- Participate in all claim’s proceedings involving JCCA.
- Ensure all benefit related functions are compliant w/applicable law.
- Recommend updates to policies and/or procedures based on changes in laws and/or changes in carrier practices.
- Ensure employee documentation is maintained in appropriate filing system (HRIS and/or employee paper medical file).
Human Resources Technology System/Reports
- Maintain accurate information in HRIS relating to leave functions.
- Report on applicable benefit deductions, elections and payments as requested. Use best system/tracking method available to track and report.
Employee Communications & Other Administrative Functions
- Communicate relevant leave information to staff as necessary and to promote use and awareness of JCCA offerings.
- Work with HR management & Broker in regards to staff communications related to leave benefits as necessary.
Other special projects/assignments as needed.
Qualifications:
- Associate’s degree required; Bachelor’s degree preferred
- Minimum (3) three years of relevant experience in leave management, and HRIS.
- Computer literacy in a Microsoft Office: MS Outlook, Word, Excel, and PowerPoint.
- Excellent Oral and Written Communication Skills required.
- Demonstrated track record of organization, focus and ability to work in a fast-paced environment.
Job Type: Full-time
Pay: $60,000.00 - $65,000.00 per year
