Your Role:

Under the direction of the Chief Legal Officer, the Legal Assistant or Paralegal will be responsible for assisting the executive team with administrative support, composing legal documents, clerical tasks including making copies, sending emails, maintaining schedules, processing client payments and organizing filing systems.

POSITION DESCRIPTION / DUTIES:

  • Communicate and work directly with the Chief Legal to collect, examine and organize information and legal documents for review and case preparation
  • Provide general administrative assistance, such as maintaining the Chief Legal Officer’s calendar, coordinating and scheduling travel, conference calls and meetings, accurate calendar management, screen incoming phone calls, taking and relaying accurate messages when necessary
  • Ensure that all new legal matters are accurately set-up and organized
  • Draft and proofread correspondence and legal documents
  • Organize and maintain documents, ensuring hard copy and/or electronic management files are kept up to date when active and once closed that they are archived
  • Identify and retrieve information necessary to support legal decision-making
  • Track and organize invoices from outside counsel
  • Assist with other ad hoc tasks to assist the Legal Department

Education / Experience:

  • Associate’s degree in paralegal studies, a paralegal certificate, or a Bachelor’s degree preferred
  • Previous legal experience, familiarity with legal procedures and the court system, litigation support experience preferred
  • 5 or more years of experience as legal assistant, legal secretary, or paralegal
  • Large law firm experience a plus
  • Experience with both litigation and transactional legal practices a plus

Skills/Competencies:

  • High degree of professionalism and ability to handle confidential information
  • Ability to work independently, multi-task and manage large workloads/projects and meet deadlines, prioritize workflow
  • Able to adapt to the continual roll-out of innovative tools and processes
  • Must be very detail-oriented, highly organized, accurate proofreading
  • Excellent verbal and written communication skills and professional demeanor
  • Administrative and document management experience
  • Computer proficiency in Microsoft Office, including Word, Excel, Outlook and Westlaw
  • Ability to travel up to 10% of the time
