JOB DESCRIPTION

LEGAL RECORDS ANALYST

Department: Legal Job Status: Full Time

FLSA: Exempt Reports to: Paralegal

Work Location: The Woodlands, TX Travel Required: None

Work Schedule: Monday – Friday; Position Supervised: None

8:00 a.m. – 5:00 P.M. (Overtime as needed)

POSITION SUMMARY: Support legal department with record maintenance and information management including support for the operation, maintenance, testing, and application workflow planning. Perform clerical duties such as record-keeping and managing information. Assist Legal team with on-going record management and system maintenance.

ESSENTIAL FUNCTIONS: (The following duties and responsibilities are all essential job functions, as defined by the ADA, except for those that begin with the word "May.")

· Fluent in reading, writing, and comprehending English.

· Perform technical administrative functions including processes.

· Assist the paralegal with the maintenance of record database, the electronic management system, ensuring compliance with all applicable internal, and regulatory requirements.

· Assist the Paralegal with maintaining structures, searches, reports and providing support to employees relating to document requests and retrieval.

· Monitor and respond appropriately to internal and external requests for records.

· Manage the transfer and maintain record inventory, ensuring proper identification and security for archived records.

· Manage the weekly transfer of electronic data onsite and offsite.

· Manage inactive records, including processing new inventory for offsite storage, handling retrieval and re-file requests, performing inventory searches, producing reports, handling retention and destruction projects, maintaining accurate documentation on all storage activity, tracking metrics.

· Provide administrative support to legal team.

· Perform other related duties as assigned to assist with successful operations and business continuity.

POSITION REQUIREMENTS:

  • Successfully pass background check.
  • Possess a valid U. S. Driver’s License.
  • Daily in-person, predictable attendance.

EDUCATION/EXPERIENCE LEVEL

· Bachelor’s degree in Legal, Business Administration, or related field required.

· Two - five years of legal records experience preferred.

· Successfully completes New Hire Safety Orientation.

· Strong ability to organize daily tasks while working within defined timelines to meet strict deadlines.

· Ability to maintain a high level of confidentiality of information.

· Proven ability to perform confidently, accurately, and thoroughly while supporting all management decisions.

· Attend and successfully completes annual safety and operations recertification training.

· Possess the following proficiencies:

The things to be compared may be presented at the same time or one after the other. This ability also includes comparing a presented object with a remembered object.

· Ability to take instruction well and interact with other employees in a positive manner within the framework of assigned work groups.

· Software proficiency with the Windows environment includes Microsoft Word, Excel, Power Point and Outlook.

Frequently required to walk, sit, climb, bend, reach and squat/kneel. Legal Records Analyst works primarily indoors and will be sitting prolonged periods of sitting at a desk and working on a computer. Must be able to access and navigate each department at the organization’s facilities. Legal Records Analyst may be required to lift heavy objects; therefore, Legal Records Analyst must be able to lift 25lbs.

Work hours may include early morning, late afternoon/evening hours, and weekends in combination depending on job demands.
