LIHEAP Payments Coordinator Job at Making Opportunity Count Inc
Position Overview:
Develop, implement, and supervise the computerized payment systems for the Fuel Assistance program.
Essential Duties and Responsibilities:
- Acquire and implement total knowledge of regulations for the Fuel Assistance Program (FAP) governing all vendor payments and develop computerized systems for all FAP payments.
- Plan, develop and implement computer payment systems for FAP vendors and all vendor emergency services systems.
- Develop and maintain FAP financial record systems such as: check payment reports, payments request reports, check registers, all payments vouchers and voucher logs, ledgers, files and FAP logs.
- Train and supervise payment staff.
- Coordinate FAP Vendor contracts, vendor payment files, and implementation of computerized vendor notification systems.
- Ensure the life cycle of vendor payments from date entry through scheduling and approving check runs and ensuring timely mailing of payment.
- Develop and maintain systems for payment reconciliations and adjustments in coordination with the Senior Accountant and Director of Administration and Finance.
- Coordinate with the Directors of Energy Resources, Administration, and Finance to request funds from the agencies that distribute the FAP.
- Maintain the integrity of the computerized client payments notification system.
- Coordinate with the fuel staff for emergency services systems and payments.
- Other duties may be assigned by the Executive Director.
Required Qualifications and Skills:
- High School Diploma or HiSET equivalent required. Associate’s degree a plus.
- 1-2 years of Accounts Payable experience required.
- Strong computer skills and knowledge of Microsoft Office required. Ability to learn the computer systems in use at the agency.
- Good written and verbal communications skills.
- Ability to work cooperatively with the management team, WCAC staff, general public and outside businesses and organizations.
- Ability to follow and process the entire fuel payments procedure.
- Ability to learn program regulations and create procedures for payments and reconciliations.
- Ability to interpret and apply written and verbal instructions.
- Ability to train and supervise staff.
Work Authorization: Must be eligible to work in the United States.
