Mail Coordinator (Troy, MI)
Job Summary
The Production Mail Coordinator is responsible for all mail room functions which includes scanning, incoming\outgoing mail, and delivery of BeneSys various benefit administration systems. Responsibilities include production of output, delivery of output via mail, courier, digital and electronic means. The Mail Coordinator reports directly to the Production Supervisor.
The Production Department at BeneSys can be characterized as fast paced with special requests woven into the fabric of the regular daily routine. The Production Department resides within the Information Technology Department along with the Programming and Support Departments. The Mail Coordinator is expected to be able to adapt to this environment, producing the required output quickly and without error. Attention to detail is very important in this role. The Mail Coordinator will always represent themselves, the department, and the company with the highest level of professionalism, always maintaining a positive attitude.
Essential Duties and Responsibilities include but not limited to
  • Perform various Mail Room processes
  • Sorting
  • Metering
  • Folding and inserting
  • Delivery and pick up
  • UPS
  • Scanning incoming mail for various departments
  • Operating Mailing, coping or scanning equipment
  • Troubleshooting mail issues
  • Changing Toner in various printers
  • Perform various weekly and monthly assignments\projects
  • Take direction from Department Supervisor or department Team Lead
  • Provide outstanding customer service
  • Access electronic PHI following the current guidelines as established at the company-wide and department levels
  • Regular and predictable attendance is an essential function of this job
Physical/Mental Demands, Environment
  • Ability to prioritize and coordinate job duties
  • Ability to adjust priorities, listen receptively to ideas and problems
  • Ability to reach acceptable compromise and to maintain strict confidentiality
  • Ability to work under time constraints; ability to communicate clearly and work effectively as a team member
  • Ability to work independently with little supervision
  • A high degree of accuracy is required for handling sensitive mail and proper routing of mail
  • Occasional moderate to heavy lifting
  • Occasional travel to local clients and businesses
Minimum Qualifications
  • At least 1-year experience in related skills applicable to corporate mail room operations
  • Must be able to demonstrate the following
    • Knowledge of current Microsoft operating systems is a plus
    • Knowledge of current Microsoft Office versions is a plus
    • Good interpersonal and oral communication skills
    • Ability to conduct research into security related products as required
    • Experience working in a team-oriented, collaborative environment
Work Schedule
Full time, 7:30am - 4:30pm, required in office (no at home days)
