Job Summary
Provides daily oversight management of Senior Companions of South Dakota (a federal grant program through AmeriCorps, sponsored by Good Samaritan Society). Establishes and maintains relationships with internal staff, physicians, and leadership as well as community contacts. The Manager of Senior Companions assists in the coordination and implementation of grant projects, service agreements, and contracts to help assure the success of the program. Manages and inspires staff carrying out programs and services operated under Community Programming Department. Interprets and evaluates program data. May plan budget for special projects, coordinate payment processing and reconcile final reporting. Works collaboratively with internal and external service partners and departments. Accountable for attainment of department goals by monitoring and managing work volumes to achieve desired goals. Provides leadership in service excellence to department employees in areas of responsibility. Responsible for the interviewing, hiring, discipline of employees and any other personnel issues that arise. Completes performance appraisals. Exercises good judgement in determining the best method for handling a variety of situations. Enhances customer service skills of employees by educating and mentoring service excellence standards.
A. Administration:
Direct the program within the framework of the goals, objectives, and budget in the annual federal continuation grant application to the AmeriCorps Seniors and within the regulations provided in AmeriCorps Seniors Senior Companion Operations Handbook, Grants Management Handbook, and other Notices. Manage agency funds, authorize expenditures, and supervise the volunteer payroll and bookkeeping activities of the Office Manager. Supervise and provide training to the Senior Companion Program Coordinators, Office Manager and Volunteer Recruiter. Oversee the program's records concerning finances, Senior Companion volunteers, clients, and staff. Work closely with Sanford Grants Department.
B. Fundraising:
Write annual continuation grant applications to AmeriCorps. Submit funding applications, reports, and maintain strong relations with the United Ways, Counties and Cities from which the program receives funding, if funding is needed. Work with the Senior Companion Advisory Councils and Fund Board to raise private funds sufficient to meet the needs of the Program's operating budget. Seek out and develop new sources or increased levels of funding wherever possible.
C. Council and Board Relations:
Assist in recruiting members and maintain close relations with members of the East River Senior Companion Advisory Council, the West River Advisory Council and the Senior Companion Fund Board. Assist with the East River Advisory Council s three committees with their work.
D. Supervision of the Senior Companions and Staff:
Oversee recruitment and screening of new Senior Companions. Plan, with other Senior Companion staff, the orientation sessions for new Companions, monthly in-service sessions and Recognition events. Facilitate the National Service Criminal History Check for all Senior Companion applicants and staff. Review and make decisions regarding complaints, conflicts, or grievances brought to the Director's attention by the Companions, clients, family members, referral station representatives, or Senior Companion staff. Review, make decisions regarding, and implement any disciplinary actions taken. Make determinations regarding requests for services by clients and station representatives which cannot be easily assumed to be within the program's client policies or where exceptions to these policies are being requested. Make determinations regarding extending services to clients outside the city limits of communities served. Oversee annual income reviews, physical examinations, and evaluations for the Companions. Receive and review all insurance claims or potential claims made by Companions. Respond to emergency scheduling requests when the Program Coordinators are unavailable. Provide supervision and consultation to the Program Coordinators with respect to any area of supervision of the Senior Companions which the Director deems necessary.
E. Public Relations:
Respond to requests for speaking engagements. Write, edit, take photos and oversee printing and mailing of newsletters and Senior Companion Fund solicitation letters. Place articles and ads in area newspapers and advertise to recruit Senior Companions. Promote Companion recruitment through word-of-mouth, subsidized apartment managers, etc. Promote the program through the media wherever opportunities arise.
F. Responsibilities with the Society and with Other Organizations:
Report to Good Samaritan director Home and Community Based Services (HCBS) and other staff as needed. Maintain relationship with the North Central Regional Office of AmeriCorps staff. Provide AmeriCorps with Project Progress Reports. Provide other information to AmeriCorps staff as needed. Maintain relations with the volunteer referral stations and negotiate Memorandum of Understanding with each station. Maintain active participation in senior organizations such as Coalitions on Aging. Attend the annual National Conference sponsored by AmeriCorps and attend local professional training as budget permits.
G. Senior Companion Fund:
Serve as the Registered Agent for the Senior Companion Fund. Keep Fund records. Assist with filing annual 990 report with the IRS. Supervise and assist the Office Manager with keeping of the Senior Companion Fund books. Prepare financial reports for the Fund Board. Meet with the Fund Board and work closely with the Board in:
a) Raising annual contributions to be contributed to the program's operating budget.
b) Marketing, planned giving, and endowment fund-raising activities.
Write thank you notes to fund donors and provide recognition items and IRS statements to larger donors. Manage investment of endowment and reserve funds under the guidance of the Fund Board.
Qualifications
Bachelor's degree required.
Three years of relevant management experience required.
Valid driver s license required. Must maintain good driving record.
