Manor Alterations Coordinator Job at Village Management Services, Inc.
JOB SUMMARY:
Provides administrative support to the Manor Alterations Division, and to the Division Manager. Under direction from and in cooperation with all staff within this division the Coordinator, assists in the planning, coordinating and implementation of activities, programs and policies of the Manor Alterations Division; and performs related work as required.
Work involves regular contact with other divisions, departments, Board Members, contractors, vendors and residents.
ESSENTIAL FUNCTIONS:
Provides coordination and assistance for the Manor Alterations Division. Coordinates tasks to be performed by staff for board committees of the Architectural and Control Standards Committee (ACSC) and Boards for two communities. Develops and maintains agendas and coordinates timelines of reports and information needed for Committee agenda packets. Records and distributes meeting minutes. Organizes, prepares, prints and distributes agenda packets. Coordinates with Corporate Secretary with all committee items for Agenda Prep meetings and the Board agendas.
Prepares time sensitive personnel changes for the Division that require coordination with the Division Manager, Department Director and Human Resources. Participates in preparing budgets, extracting data from company software programs for reports, maintains budget accounts, establishes and maintains complex filing systems. Relays complex and important instructions and messages.
Maintains appointment schedules, screens and refers callers, provides detailed responses to information requests about programs and activities.
Assists the Division Manager concerning objectives, new and revised policies, short- and long-range programs relative to department objectives and departmental issues. Assists with planning and implementing new programs or procedures in accordance with established objectives. Schedules meetings, monitors assignments and timetables. Drafts Staff reports, board resolutions and other departmental documents. Searches records for resolutions, policies and Board decisions. Compiles all information for committee agenda packets to distribute to boards, staff and for publishing on company website. Attends committee meetings and writes Minutes. Moves any committee decisions onto the Board for approval. Drafts Board Decision letters to Members and maintains correspondence with Committees.
Regular attendance required. All duties performed on-site and at the Laguna Woods Village Community Center.

Maintains various records on division activities pertaining to personnel changes, employee roster, holiday schedules, purchasing, expenses and related activities.
EQUIPMENT OPERATED:
Vehicle, computer, computer software of main data collection, MS Suite programs, Revu Blue Beam, calculator, printer, copier, fax machine and MyTell telephone.
WORK ENVIRONMENT:
While performing the duties of this job, the employee is in a climate-controlled indoor office.
DESIRABLE QUALIFICATIONS:
Graduation from high school supplemented by college degree or any equivalent combination of education and experience which produces the following:
- Knowledge of computer and software programs necessary for communication and record keeping, including MS Office Suite.
- Knowledge of modern office equipment, practices, systems and procedures.
- Knowledge of computer skills necessary for communication and record keeping.
- Ability to express ideas effectively, orally, via computer and in writing.
- Ability to relate to the needs and concerns of senior citizens.
- Ability to establish and maintain effective and pleasant working relationships with fellow employees, contractors, residents and the public.
- Ability to provide a creative thinking process to solve problems of complex planning.
- Desire to be a team player and be part of a process to provide excellent customer service to the community we serve.
- Knowledge of the occupational hazards and safety precautions of the job.
- Ability to establish and maintain effective working relationships with others.
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is frequently required to talk, hear, see, and use hands to finger, grasp, feel and reach. The employee is regularly required to sit for long periods of time and use repetitive motion to operate a keyboard for long periods. The employee is occasionally required to crouch, kneel, grasp, pull, push, stoop, and lift and carry up to 10 lbs.
MENTAL REQUIREMENTS:
While performing the duties of this job the employee reads, solves problems, uses verbal and written communication skills, is able to multitask, and is able to handle frequent customer contact and interruptions.
