McColl Center is a nationally acclaimed artist residency and contemporary arts hub in Uptown Charlotte, North Carolina. THE OPPORTUNITY

The Programs Coordinator provides administrative and tactical support to the Creative Team and executes programs that support McColl Center's mission, vision, and goals. The primary role of this position is to provide administrative support to the VP, Creative Director; Youth Programs and Adult Programs Directors and ensure programs are efficient and effectively delivered. You will play to your strengths as someone with planning skills and attention to detail while also serving as an ambassador to program attendees, artists, vendors, and staff.

RESPONSIBILITIES

Internal Management

  • Develops timelines, policies, and procedures to ensure programs are on track for success.
  • Communicates with internal stakeholders to gather information
  • Coordinates all program efforts including administrative duties and program setup and breakdown; facilitates when necessary.
  • Contributes to planning and strategy meetings with the Creative Team.
  • Manages team leadership calendars and coordinates meetings.
  • Ensures presentations, reports, and other documents reflect McColl Center's brand guidelines.
  • Assisting with the installation and deinstallation of McColl Center exhibitions.
  • Additional duties as required.

External Relations

  • Identifies partners, makes introductions, manages communication, and continuously acts as a liaison between the Creative Team and our collaborators.
  • Coordinates with vendors and artists to ensure timely contract signing, invoicing and payment.
  • Supports Creative Team to support artists-in-residence including updating manuals, contracts, shipping,
  • Schedules, and hosts in-person and virtual meetings and events.
  • Prepares agendas and presentations, takes notes and meeting minutes, and communicates outcomes with meeting participants as needed.
  • Some evening and weekend hours will be required.

QUALIFICATIONS

  • Two to three years of administrative and program support experience.
  • Emotional intelligence, interpersonal, oral, and written communication skills.
  • Experience coordinating teams and vendors, program support, engaging with communities, editing communications, and managing budgets.
  • Ability to attend McColl Center events during evenings and weekends as needed.
  • Proficiency with Microsoft Office required
  • Proficiency with project management tools, such as Basecamp, preferred.
  • Excellent writing and correspondence skills required.
  • Excellent organizational skills with focus on time management and project coordination.
  • Experience with arts-based non-profits
  • Minimum of a bachelor's degree or equivalent combination of education, training, and experience.
  • The COVID-19 vaccination and boosters are required as a condition of employment.

COMPENSATION + BENEFITS

  • Salary range: $37,000-41,000 annually.
  • McColl Center offers full-time employees a comprehensive benefits program including medical, dental, vision, life, paid time off, and a 403(b)-retirement plan.
  • This position is based at McColl Center and eligible for flexible work benefit after 90-days.
