Cummins Behavioral Health Systems, Inc. has a new opportunity as full-time Medical Assistant/Access Representative to serve families at our outpatient clinic in Avon, Indiana.

The Medical Assistant/Medical Access Representative will assist the nursing and psychiatric staff by performing administrative, clinical and /or laboratory duties. The interfacing between patients and staff includes direct contact, either face-to-face or by phone, and indirect contact via a variety of electronic means or correspondence. The Medical Assistant/Access Representative will primarly schedule patient appointments, help patients complete insurance forms, and collect insurance copays.

Functions – Medical Assistant Level I:

  • Obtain and document in the electronic health record patient medical histories, laboratory and test results, vital signs, heights, weights, side effects, clinical assessments and other patient concerns or questions regarding their psychiatric treatment.
  • Prepare and assist individuals with the completion of simple, non-complex pre-appointment assessments.
  • Reconcile medication lists of patients that are receiving medications from other health care providers.
  • Order authorized medications for patients per psychiatrist or advanced nurse (the medical providers) as written in the electronic health record.
  • Assist patients that are self-pay in applying for and obtaining medications from pharmaceutical patient assistance programs.
  • Obtain prior authorizations for medications from pharmacy benefit programs associated with various third party insurance payers.
  • Provide medication education to patients about their medication type, indications and common side effects based on pre-written approved guidelines or as instructed by the medical provider.
  • Collect blood or other laboratory specimens, log items collected and prepare them for testing and deliver these items for testing.
  • Inform patients of laboratory and test results, medication authorizations, or denials or other information deemed necessary as directed by the psychiatrists or nurses.
  • Collaborate with medical services nurse manager and medical providers to address patients concerns.

Essential Functions – Medical Services Access Representative:

  • Welcomes patients and vistitors by greeting patients and vistiors, in person or on the telephone; answering or referring inquiries.
  • Optimizes patients' satisfaction, and provider time by scheduling appointments in person or by telephone.
  • Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Answer's patient's questions when appropriate to subject matter.
  • Responsible for keeping the waiting area clean and organized.
  • Ensures availability of treatment information by filing and retrieving patient records.
  • Helps control flow of office flow, billing and procedures.
  • Protects patients' rights by maintaining confidentialty of personal and financial information.
  • Contributes to team effort by accomplishing related results as needed.
  • Other duties and functions as assigned.

Education and/or Experience:

  • Medical Assistance who has graduated from a two-year clinical program preferred.
  • Completion of Postsecondary medical assisting program certification or diploma.
  • Medical assistant certification required
  • Two to three years' experience in a psychiatric/mental health setting preferred for Medical Assistant I.
  • Three years' experience within Cummins' Medical Services for Medical Assistant II.
  • Certified in phlebotomy.

Knowledge, Skills and Abilities:

  • Basic knowledge of pharmacology.
  • Must possess good computer skills; working knowledge of Microsoft Windows environment; Microsoft 360.
  • Ability to apply knowledge and communication to age specific and/or population specific care competencies.
  • Ability to collect information from consumer and family members to determine nature and extent of consumer needs.
  • Ability to assist medical procedure with individual plan of treatment for each consumer.
