Medical Assistant Supervisor for busy Dermatology & Plastic Surgery Office Job at Chicago Cosmetic Surgery and Dermatology
Chicago Cosmetic Surgery and Dermatology, located in the beautiful River North area, is looking to add a Patient Care Coordinator to our team!
Role Overview
Primarily responsible for assisting medical providers with all patient functions including collection of intake information, setup and assistance with exams and procedures and appropriate medical documentation in addition to supervising and coordinating the clinical flow of the practice. The Patient Care Coordinator will also be responsible for training, evaluating, and initiating disciplinary action for twenty employees.
Essential Functions
- This position is a working supervisor and will also adhere to the Medical Assistant Job description
- Reviews and signs off on staffing and schedules for the clinical areas with the clinic coordinator
- Reviews and approves time cards, adding personal/sick PTO and holiday pay if applicable (monitor PTO hours).
- Approves or denies time off request (adding the approval to Google calendar).
- Coordinates and manage the work of the patient care staff (20 Medical Assistants)
- Supervises clinic and surgical flow, to maximize services provided to the patients
- Assists managing inventory of supplies and consumables
- Schedules Travel Tech Mohs for Mohs surgery dates
- Ensures that LN2 supplies are available (checking levels especially prior to Mohs dates)
- Trains or monitors and schedules training of all medical assistants/LPNs with Clinic Coordinator
- Assists Clinical Supervisor in monitoring of supplies, instruments, and equipment for optimal clinic and surgical performance
- Assists with the development and coordination of plans and procedures for clinical operations
- Demonstrates continuous effort to improve clinical operations, and streamline work processes
- Prepares and presents formal and informal instruction to staff members
- Creates and administers proficiency test, updating as new processes emerge
- Meets with clinic team leads each morning (quick huddle)
- Works closely with the Medical Director, Clinic Supervisor, Patient Entry Coordinator and other supervisors to ensure smooth work flow and effective communication between teams
- Conducts Patient Care Team meetings for effective and efficient work operations
- Represents the Patient Care Team’s interests in meetings
- Performs yearly review of Patient Care Team staff
- Treats all patients and other staff members with respect
- Other duties as assigned by the Medical Director, Practice Administrator and/or Operations Manager. This position is a working supervisor and will also adhere to the Medical Assistant job description

Requirements
- A minimum of three years in a supervisor/leadership role or equivalent experience
- High level of computer skills

- Must be able to lift/carry up to 20 pounds

Preferred
Certified Medical Assistant (CMA) Certification, Licensed Practical Nurse (LPN), or higher education from an accredited institution
More Information
Previous experience in a Dermatology medical practice, or hospital setting preferred.
Our patient office hours are Monday - Thursday 8:00am-6pm, Friday 8:00am-5pm and some Saturdays 9am-1pm. This is a full-time position (36-40 hours a week). We offer BCBS medical, dental, Aflac, and retirement benefits with 4% employer match after an introductory period. Personal time off (PTO) is earned each pay period at a rate determined by the amount of years worked. PTO can be used after three months of employment.
Hourly wage depends on experience.
