Job purpose
The receptionist is often the first person our patients and providers interact with at the Gaudiani Clinic whether it be via an in-person visit or via a phone call. The receptionist acts as an ongoing liaison and care coordinator for our patients via scheduling appointments and team calls and record-gathering/processing. The receptionist also manages many aspects of clinic operations.
Duties and responsibilities
Each individual responsibility as well as the overall job should be completed with both the values of the clinic and brand integrity as priorities.
The duties of the receptionist include and may not be limited to:
- Phone Management: o Answers calls promptly and identifies self warmly and professionally, transfers to appropriate team member, listens to and responds promptly to messages, and takes/manages messages when appropriate or necessary. Additionally, manages phone calls remotely when appropriate.
- Office Management: o Effectively and thoughtfully opens office space daily as per operating hours, maintains office space in line with the needs and values of the clinic (office supply stock, bathroom and kitchen supplies and

maintenance, medical supply). Creates and maintains an ongoing budget for office and medical supplies as well as effectively communicates the information therein.
- Computer Management: o Possesses the ability and desire to learn and manage multiple web-based platforms (e.g., Elation
EMR, Salesforce CRM) for patient care and coordination. Efficiently and accurately manage the physician and patient schedules. Manage and file the incoming and outgoing faxes for the office.
- Marketing: o Assist as needed with tasks such as ordering lunches, data input, etc. The receptionist may be invited to spend time outside of work hours for community events (comp time will be provided for these activities). The receptionist will not be expected to cover the costs of these events when asked to attend by the company or the Marketing Director.
- Intake: o The receptionist will be responsible for receiving incoming calls to the clinic and scheduling informational calls with the intake staff. Additionally, the receptionist will send out paperwork such as consents packages, releases of information, and financial information and ensure that those are received and filed/printed as directed. The receptionist will be responsible for gathering records, scheduling calls in advance of the initial visit, and obtaining records. They may be assigned additional duties by the intake staff, nurse, and/or physician.
- Ongoing Patient Care: o Greets all patients and exudes clinic values in all patient interactions, assists and takes initiative in developing and improving processes for patient flow in the clinic, and is responsive to patient needs.
The receptionist will be responsible for scheduling calls, coordinating the collection and filing of medical records, facilitating team communication with the clinic, scheduling initial and follow-up visits as well as assisting the nurse in coordinating care.
- Insurance: o Understands how insurance works within Gaudiani Clinic operations and is able to effectively convey that information to patients and inquires. Assist in the creation and sending of superbills and claims.
Manage and file insurance paperwork as required or requested.
Qualifications
Minimum Education Required: High School Diploma and at least 2 years of experience in a related setting. Lived experience is highly valued and respected.
Working conditions
The receptionist must be capable of dealing with, in the context and manner described in the values of the clinic, the specific patient population of the Gaudiani Clinic.
Physical requirements/Schedule
Must be able to remain in a stationary position approximately 75% of the time. Full range of body motion, light to moderate work with 50+ pounds maximum weight to lift and carry; movement inclusive of reaching, bending, stooping, and handling objects with hands and/or fingers. Ability to talk, hear, see, and communicate. Potential exposure to blood and body fluids.
The receptionist will be expected to work from 8:30 a.m. – 4:30 p.m. (summer 2023) and 9 a.m. – 5 p.m. (regular hours) with some exceptions for earlier morning and later evenings as patient needs may require.

Salary
Commensurate with experience; range is $40,000-$45,000/year.
