Vault Designer Logistics is a furniture warehousing and logistics company dedicated to the interior design trade, fine furniture showrooms, and private clients. Founded in 2004 and approaching our 20th year serving Palm Beach County, we have experienced tremendous success. We have an administrative position available with great potential for personal and financial growth.

The ideal candidate would be optimistic, confident, a self-starter, have excellent customer service skills, a quick learner, a problem-solver, and able and willing to work in a fast-paced environment, with a creative mind and an ability to suggest improvements. We are looking for a strong individual who can assist in ensuring the smooth running of the office and help to improve company procedures and day-to-day operations.

Must Haves: include the ability to follow instructions, work within a systems-based environment, communicate needs clearly and remain positive during busy times, excellent written and verbal communication, strong organizational skills, team player who is willing to pitch in where needed, proficiency in Microsoft Office (specifically Word, Excel, Outlook, and OneDrive).

Job Responsibilities:

* Accounts Receivable – including invoicing Customers and accepting payments

* Accounts Payable – including entering Vendor bills and preparing payments

* Maintaining Customer and Vendor files

* Assisting in HR duties – including onboarding new hires, taking and filing meeting notes, and creating and maintaining Employee files

* Scheduling meetings and appointments within the office

* Organizing the office and ordering supplies

* Checking and processing mail

* Preparing bank deposits and making weekly trips to bank to deposit

* Running to the post office and bank as needed

* Renewing business licenses annually

* Coordinating and tracking equipment maintenance and repair

* Managing IT issues – reporting to tech and following through to resolution

* Maintaining Office equipment (computers, printers, iPads, etc.)

* Filing

* Monitoring email account and ensuring all emails are responded to and handled in a timely manner

* Assisting in answering phones and directing calls to the appropriate department

* Knowledge of office administrator responsibilities, systems, and procedures

* Overall general assistance to the Managing Partner with all tasks related to running the operation.

* Familiarity with email scheduling tools, like Google Calendar and Tiny Calendar

* General Internet savviness

* Excellent time management skills and ability to multi-task and prioritize work

* High School degree; additional qualification as an Administrative Assistant or Secretary required

Job Type:

· Full-time

Starting Salary:

· $45,000.00 - $65,000.00 per year

Benefits:

· Paid vacations, holidays, major medical and 401K matching.

Schedule:

· Monday to Friday, 8:00am-4:00pm

Education:

· High school or equivalent

Experience / Skills Needed:

· Prior Office Assistant or Management position

· Microsoft Office – Word, Excel, Outlook, OneDrive

· Quickbooks Online a plus

· CRM experience a plus

Work Location:

· Onsite – one location – West Palm Beach
