Office Coordinator Job at Little Gerald Services LLC
I. A. PURPOSE OF POSITION:
An office coordinator oversees the office environment, manages office tasks and communications, and assists upper management with key functions.
B. WORK SCHEDULE: Normal work schedule is 9am to 5pm on Monday-Friday unless otherwise arranged.
II. A. DESCRIPTION OF RESPONSIBLITIES AND DUTIES:
ESSENTIAL FUNCTIONS AND BASIC DUTIES (INCLUDE BUT NOT LIMITED TO):
- Maintain office equipment
- Secretarial support to staff
- Maintenance of office files
- Open office on time daily.
- Maintain petty cash and receipts.
- Open, sort, and scan incoming mail.
- Handles phone calls and checks voicemails.
- Orders supplies as needed.
- Screen, interview, and hire for non-enhanced service positions
- Maintain personnel files on all personnel, support/office staff, as outlined in Personnel Policy.
- Maintains medical records as outlined in Records Management policy.
- Track all new referrals for location
- Completes intakes as needed in office and in community
- Coordinate with management as needed
- Day-to-day operations at site
- Maintain agency protocols and compliance
- Set-up new client and staff profiles
- Assist with tracking and scheduling of initial CCAs/PCPs when needed
- Gather community resources (food banks, utility payment and housing assistance resources, crisis assistance, clothing referrals, etc)
- Printing of outreach/marketing materials
- Printing of staff resource materials
- Monthly insurance verifications
WORK ENVIRONMENT AND CONDITION:
The Office Coordinator will work in an office with periodic meetings in the community. Must be able to work flexible hours and multi-task.
KNOWLEDGE, SKILLS AND ABILITIES:
The Office Coordinator must have at least one year of experience working in an administrative/managerial position. Knowledge of Behavioral healthcare services is a plus.
Must protect the reputation and integrity of others through strict confidentiality.
Must demonstrate a high level of trust and complete all tasks in a timely manner.
Must display the ability to communicate well and effectively, both verbally and written.
Must create an environment that is inviting to people passing through on a daily basis.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
