Our client who has been in business for over 30 years, is a European leader in renewable gas, energy sovereignty, and green mobility. As a leader in the French market currently expanding into the United States.
We're actively searching for an experienced Office Manager/Administrative Assistant to join our team in our Schaumburg IL office location.

The Office Manager will be responsible for high-level administrative support, effective coordination, and office operations management.

Candidates who are highly motivated, autonomous, self-directed, resourceful, and able to work independently and among teams with the ability to make good decisions will excel in this role. If you have 3+ years of relevant office management experience.

WHAT YOU WILL DO:

This diverse Office Manager position handles a broad array of support in accounting, marketing, human resources, vendor relations, and general business and operations administration.

Accounting Support
  • Data entry in ERP system (SAGE)
  • Verifying and processing invoices
  • Purchase orders
  • Coordination and accounting support between the U.S. and Corporate accounting functions.
Administrative Support
  • Reporting and dashboard administrative support
  • Prepare correspondence
  • Help plan and facilitate departmental and company meetings and company events
  • Coordinate and schedule meetings, draft agendas, and document and maintain minutes of meetings
  • General administrative support, such as expense reports, travel assistance, or research projects upon request for the team
  • Handling general information requests from internal staff and external vendors
  • Maintain office space organization and configuration, furniture, technology systems, and facility management support
  • Coordinate security/access and other office services with building management
  • Manage inventory of office and administrative supplies, kitchen and related items
  • Handling incoming/outgoing mail and shipments
  • Automobile leasing administrative support
  • Assist in documenting and filing company-related insurances
  • Maintain vendor relations
Human Resources
  • Payroll support, including entering timesheets (as needed), tracking time, and associated follow-up
  • Distributing payroll slips (as needed)
  • Recording and tracking employee PTO (vacations, etc.)
  • May assist with benefits administration, onboarding new employees and processing changes
Management Assistant
  • Provide general administrative assistance to Director/Leadership, including travel, calendar coordination, documentation, etc.

WHAT YOU WILL BRING:
  • 3+ years of office management experience
  • Highly motivated, autonomous, self-directed, and resourceful
  • Outstanding organizational and multi-tasking skills
  • Service-oriented; excellent customer service and relationship skills
  • Ability to make recommendations and decisions independently
  • Ability to work independently and among teams
  • Acts with a high level of professionalism and integrity, including dealing with confidential information
  • Excellent verbal and written communications skills in English (French language skills are a plus)
  • Proficient with Microsoft Office, including Word, PowerPoint, and Excel
