About the Company:

Grace Consultants is a construction and consulting construction management company in Oak, Park, IL. We specialize in 203K renovations, residential renovations, and commercial real estate construction and consulting. We have grown significantly in the last year and are seeking to hire an office manager to assist with daily operations including but not limited to payroll, ordering supplies, maintaining overall organization of projects, and other duties as assigned.

Description:

The ideal office manager candidate will be experienced in handling a wide range of administrative and executive support-related tasks and work independently with little supervision. Candidate must be professional, self-motivated, well organized, detail oriented, as well as friendly and personable. We are looking for someone with a strong work ethic, a bright personality, integrity, a positive attitude, and the ability to communicate effectively and efficiently.

The ability to handle very detailed information and someone that can work at a fast pace and remain organized is key. Will coordinate a/p, track hours for payroll, maintain filing system, order material, use Excel spreadsheets to keep jobs organized, ensure that permit application with the villages are submitted and maintained, and work closely with project manager to complete duties as assigned. Create a payables list and are instructed what to pay. Must be reliable and trustworthy. Ideal candidate will also help build online marketing, brochures, email campaigns, etc. that highlight our services. Proficiency in processing high levels of information is a must.

Skills/Experience:

  • Minimum of 2 years of office experience, construction or architecture industry
  • Computer skills and proficiency with MS Office products; Excel and Word a must
  • Bookkeeping experience, Quickbooks is a plus
  • Strong organizational/time management skills
  • Excellent verbal/written communication skills
  • Outstanding work ethic, integrity, and commitment
  • Highly organized and detail-oriented
  • Ability to work independently
  • Maintain strict confidentiality
  • Sense of urgency when responding to internal and external requests
  • Able to multi-task, prioritize, manage time effectively and efficiently
  • Maintain detailed record keeping including email management, maintain receipts, placing orders
  • Responsive to the needs of project manager/consultant
  • Other duties as assigned

Requirements:

  • Minimum of 2 years (associates degree) required; bachelor’s degree preferred
  • Bilingual-Spanish/English speaking preferred
  • Remote, 5pm-10pm (Mon-Fri)

Job Type: Part-time

Pay: $30,224.00 - $32,952.00 per year

Schedule:

  • 4 hour shift

  • Microsoft Excel: 1 year (Preferred)
