Location: Cambridge, MA
Hours: 20 per week - flexible in-office and remote work
Pay Rate: $25-$30/hr
Job Description:
This position is with our client, Aspire Institute.
Aspire Institute Inc. (AI), co-founded by Harvard Business School Professors Tarun Khanna and Karim Lakhani, develops leadership potential through a novel approach that provides fully-funded academic and leadership development resources to low-income, first-in-family college students around the world.
Aspire's one-year program includes 1) interdisciplinary courses taught by world-class faculty and 2) beyond-the-classroom 'Extended Leadership Opportunities' that include mentorship, internships in the country of residence, academic scholarships to pursue activities that will assist Aspire alumni to uncover their untapped potential and Community Action Awards.
Responsibilities:
- Perform day-to-day administrative functions and operations including
- Enroll new employees in Aspire's benefit plans
- Make travel, conference attendance and event arrangements
- Maintain inventory of office supplies
- Purchase computers and office equipment and coordinate their repair as necessary
- Maintain electronic records of all contracts with vendors, interns, and independent contractors.
- Maintain the electronic employee handbook
- Support social media marketing
- Respond to emails and phone calls
- Assist with the payment of academic scholarships and Community Action Awards
- Perform other mission critical duties as assigned
Basic Qualifications:
- High school diploma or equivalent; Associate's degree in office administration or related field preferred.
- 3 years of work experience in an office environment, preferably in higher education, non-profit, human services, consulting, business, social enterprise, foundation, or related fields.
- Computer proficiency: Microsoft Office, including advanced Excel. Proficiency with the Google Suite equivalent or Customer Relations Management software will be a plus.
- Competency in office management procedures.

- Excellent interpersonal skills including the ability to work collaboratively with a diverse team.
- Ability to work independently and take initiative in a fast pace, start-up environment with multiple tasks and projects.
- Problem-solving skills
- Ability to communicate effectively across stakeholders that include board members, founders, donors, staff and others
- Excellent listening, written, and verbal communication skills.
- Legal authorization to work in the United States
Working Conditions:
- Aspire staff typically work remote on Monday and Friday and in office Tuesday - Wednesday. The in office noise level is usually quiet to moderate (i.e., in a business office with computers, phones, printers, etc.).
- Occasional weekends and nights as needed.
Salaried based on an average of 20 hours per week with a flexible schedule that includes 1-2 days in office each week
The office manager reports to the Executive Director.
