    SALARY: 12-month, Category T, AAEA/OP Salary Schedule

    REPORTING RELATIONSHIP: Community Education & Recreation School Age Child Care Manger
    Position Summary:
    This position is part of Rec & Ed’s Before and After school Childcare and Camps division providing excellent customer service to Ann Arbor Public School families enrolled in our licensed day care and school break and summer camps programs. Responsible for the organization and coordination of office operation, procedures and resources to facilitate organizational effectiveness and efficiency. The primary duties of this position include managing the child care software and serving as the front-line person to register, schedule, bill, communicate with families and follow up on delinquent accounts. Additional responsibilities include ordering supplies, creating a weekly staff newsletter, maintaining staff contact information & master log for licensing compliance and submitting staff payroll, responsible for fee collection, setting up payment plans, monitoring all health, special needs and medication records and student medications.

    Education & Experience:
    High School Graduate or equivalent and 3-5 years business office & customer service experience.
    Experience using PC and/or MAC computers for word processing, spreadsheets and database.
    Experience using multi-line/multi-function telephone system.
    Working knowledge of general office machines (fax, copier, postage).
    Excellent oral and written communication skills.

    Job Responsibilities:
    • Provide outstanding customer service to internal staff and external customers
    • Process all program registrations, monitor enrollment numbers and run weekly reports regarding participation data
    • Maintain records on students with medical and special needs
    • Set-up medication collection for families and students
    • Process account actions related to scheduling and billing, delinquent accounts, and payment plans
    • Maintain regular and on-going communications with registered families as, as required
    • Ensure security and confidentiality of school/data records
    • Answer and triage all in-coming telephone inquiries, customer updates, misc. reports and customer information) waitlists
    • Execute computer tasks related to registrations (build program in software for each season, data entry
    • Perform general computer work (emails, memos, general correspondence, labels, forms)
    • Review and edit program webpages
    • Maintain updated records for staff key assignments and key cards
    • Create and maintain staff contact databases Maintain payroll database; process and submit payroll
    • Maintain master staff log for licensing compliance
    • Sort staff’s weekly paperwork and maintain site mailboxes
    • Maintain and edit Childcare and Camp Parent Handbooks and weekly newsletter to staff
    • Create, maintain and prepare documents used for annual Kindergarten Round Ups
    • Order office and program supplies from vendors
    • Submit work orders for programs Collaborate with division Manager to identify and implement improved processes and procedures
    • Team meetings Provide periodic coverage for Rec & Ed’s Front Office OP’s SACCAttend departmental, OP and
    • Maintain and file program records
    • Other duties as assigned

    LANGUAGE SKILLS: Read, write and comprehend basic instructions, short correspondence, and memos. Effectively present information in one-on-one and small group situations to staff, parents, students and administrators. Communicate clearly and concisely both orally and in writing.

    MATHEMATICAL SKILLS: Add, subtract, and multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

    REASONING ABILITY: Apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Deal with problems involving a few concrete variables in standardized situations.

    OTHER SKILLS and ABILITIES: Work with parents and children of diverse cultural backgrounds. Develop effective working relationships with students, staff, and the school community. Perform duties with awareness of all district requirements and Board of Education policies.
