This recruitment will be used to fill one full-time Office Specialist 1 position for the Department of Fisheries & Wildlife at Oregon State University (
OSU
).
This position will provide general reception and administrative support and serve as the face for the Department of Fisheries, Wildlife, and Conservation Sciences in Nash Hall, on the main Oregon State University Corvallis campus.

Position duties include, but not limited to, general front office reception and clerical duties, general clerical support for social events, and opening and closing the main office each day.
The incumbent will be the primary point of contact for all in person visitors (students, faculty, alumni, community stakeholders, donors, etc.) and incoming department phone calls. They are also tasked with providing general clerical support for all department wide social and outreach events. Initial focus will be on a large alumni reunion event planned for Spring 2023. This position will also provide clerical support to FWCS by assisting with record keeping, updating internal documents, and processing key and telecom requests.
FWCS is an academic unit that reports to the College of Agricultural Sciences. The Department is composed of approximately 300 staff, including academic faculty, research assistants, classified staff, graduate students, and temporary staff. Over $9 million of externally funded grants and contracts are received each year in support of science focused on basic ecological research, conservation, and sustainable use of fish and wildlife and their habitats. The Department is the largest in the College of Agricultural Sciences, with over 1000 majors in 8 degree and certificate programs, including one Bachelor of Science degree, five graduate degrees, and two graduate certificates. Position Duties
40% General Reception
- Provide excellent customer service and apply existing institutional policies and procedures to respond to general inquiries in person, by email, and over the phone.
- Use initiative and judgement to provide additional resources and/or redirect incoming inquiries accordingly.
- Responsible for opening and closing the FWCS main office daily.
30% Departmental Event Support
- Provide general clerical support and gather information to support planning efforts for FWCS social and outreach events
- Serve on departmental event planning and social outreach committees.
- Stay up to date on university policy and procedures, as it relates to event planning.
20% Clerical Support
- Work with front office team to keep general FWCS operating documents updated regularly.
- Assist website coordinator with updating social media accounts and basic website updates.
- Assist with keeping internal databases for tracking records updated.
- Process requests for keys and telecom changes.
5% Professional Development
- Participate in relevant professional development opportunities.
- Support the department, college, and university goals for enhancing community and diversity.
5% Other Duties as Assigned
- Provide backup support for invoicing and purchasing as needed
Completion of courses or training in Office Technology; OR One year of general clerical experience which included typing, word processing, or other generation of documents; OR An equivalent combination of training and experience.
Additional Required Qualifications
Strong customer service background and enthusiasm for welcoming and helping people.
Previous experience serving as the primary reception contact and supporting a large, busy, dynamic office.
Demonstrated ability to effectively communicate verbally and in writing, in addition to strong interpersonal communication skills.
Demonstrated ability to support events.
Commitment to promoting and enhancing diversity.

Previous experience planning and organizing large scale (100+ attendees) social events.
Previous experience with social media and website editing.
Record of/commitment to work with underrepresented/underserved students or other audiences.
Life experience, education, or training that broadens capacity to equalize student success or impact underserved audiences.
This position requires working in a fast-paced, active office environment with frequent interruptions and regular foot traffic. The required work schedule is 8:00am – 5:00pm on weekdays in Nash Hall on the main OSU Corvallis Campus.
This position is deemed essential and the incumbent may be expected to report to work during inclement weather, emergency and other University work curtailments or closures.
