Job Description

Job Title: Office Technician

Reports To: Dog Kennel Manager

Position Summary:

Under the direction of the Dog Kennel Manager, provides for the constant cleanliness and order of the front office, providing administrative support and customer service.

Directly supporting the Dog Kennel Manager in administrative duties related to animal care, incomes and outcomes and medical record keeping. The responsibilities will vary based on the current needs of the shelter.

Essential Functions:

Essential functions may include, but are not limited to, the following:

  • To provide administrative support to the front office.
  • Greeting customers both in person and on the phone, providing information and routing customers to the appropriate department.
  • Providing general information to customers and members of the public.
  • Answering emails and responding to messages and inquiries from the public.
  • Data entry and tracking of volunteer hours, volunteer orientation support.
  • Social media marketing of animals, events and HSIMC to keep the public informed and up to date on current events on various social media platforms.
  • Maintaining accurate and thorough records for all animals.
  • Intake to placement processes (intake, social media, foster viability)
  • To take charge and/or handle animals as required and to restrain hard to control animals in a safe and humane manner.
  • Adheres to safety standards and protocols.

Typical Duties & Responsibilities:

  • Follow all shelter procedures.
  • Unpacking, labeling and stocking of shelter supplies and donations.
  • Providing administrative support to the front office and other departments as needed.
  • Maintain medical files for each animal.
  • Report signs of illness, disease, injury or unusual activity and record in animal file.
  • Properly recording animal intakes/outcome/medical schedules and events.
  • Assist with the administration of medications or with restraint.
  • Perform general cleaning duties as assigned.
  • Maintain equipment used to complete job assignments and keep such equipment and tools in good working order. Notify Management of needed repairs and equipment

needed to adequately complete assignments. Keep equipment and tools put away in proper storage areas.

  • Perform other related tasks and duties as required.

Minimum Qualifications:

  • Physical Effort: *
  • Often requires lifting and carrying materials weighing up to 40lbs. Frequently requires handling of materials up to 20 lbs. Additionally, handle dogs weighing up to 150 lbs. Walking and/or standing for long periods. Frequently work in bent positions. May be required to use strength or agility in capturing and restraining stronger, more active animals.
  • Sitting for long periods of time.
  • Working Conditions:
  • Work is performed indoors and outdoors. Exposure to unpleasant odors and noises. Exposure to bites, scratches and animal wastes. Possible exposure to contagious diseases.
  • Knowledge Of: *
  • Intake to placement methodology.
  • APA and HASS ideology and processes.
  • Dog behavior modification methodology.
  • Social media platforms, highly used in shelter processes.
  • Medical and general record keeping.
  • Cleaning and disinfecting methods and the use and care of cleaning materials and equipment. Proper methods of animal handling and restraint.
  • Vaccine and treatment protocols and schedules.
  • Basic computer operation.
  • Ability To:
  • Use office equipment with skill and efficiency.
  • Ability to use a copy machine, multi line phone system, computer, computer programs, social media platforms, Word, Excel, Google Docs.
  • Follow vaccine and treatment schedules
  • Learn ShelterLuv program for record keeping and communication for daily operations.

Desirable Skills, Knowledge and Abilities:

  • Apply knowledge and skills in controlling/handling individual animal temperaments.

Have the ability to gain animal confidence when restraining them for transport, grooming and or treatment.

  • Knowledge of social media platforms, highly used in rescue.
  • Housekeeping and laundry duties in all areas.
  • Knowledge of common diseases, their symptoms and means of transmission.
  • Administration of oral medications.
  • Understanding of record keeping for animal medical care.
  • Assessment of change in animal status or behavior.
  • Communicate clearly and effectively orally and in writing.
  • Establish and maintain courteous and professional relationships with co-workers and deal with the public tactfully and courteously.
  • Ability to work under pressure and time deadlines.
  • Ability to carry out independent judgment.

Job Type: Part-time

Pay: $15.50 per hour
