HR Onboarding Specialist responsibilities include communicating company and position details to new hires before their start date, gathering necessary paperwork and scheduling first days. Responsibilities also include communicating with department hiring managers and HR staff to make sure all processes are in line with ICL’s policies.

  • Act as the main point of contact for the candidates and hiring managers on all onboarding related matters;
  • Orchestrate the full new hire onboarding process, including oversight of functions involved in the onboarding process;
  • Communicate with hiring managers to set new hire start dates and keep new hires informed regarding their start date;
  • Obtain and collect information for I-9 Forms and enter into E-Verify. E-Verify all new hires assigned into correct entity within 3 business days of the new hires start date;
  • Reviews new hire files to ensure completeness of files. A new hires file should be complete within 3 months from the date they start working;
  • Coordinate all provisioning requests with IT department by submitting an IT Access Form for each new hire;
  • Ensure that new hires benefits package and are informed of deadlines of enrollments;
  • Meet with each candidate virtually to review all ICL policies;
  • Maintain and update applicant onboarding status HRIS platform;
  • Follow up with new hires to make sure they submit their signed offer letters and job descriptions;
  • Verify all Professional Licenses on-line, request updated Licenses from new hires;
  • Build strong working rapport with department heads and hiring managers;
  • Send welcome letters to newly hired employees;
  • Send newly hired employees surveys using UKG Employee Voice;
  • Handle general human resources queries related to recruitment and onboarding;
  • Participates in special projects and performs other duties as assigned.

Minimum Qualification

A bachelor's or associate's degree in human resources management or a related field

Experience as an onboarding specialist or in a similar HR role.

Experience with HRIS software

Preferred:

BA/BS, related HR experience preferred

Proficient with ATS system and UKG Pro preferred
