Summary: The Patient Care Associate is responsible for performing all tasks relative to communications with patients and verification of third-party reimbursement before delivery with thorough knowledge of products and services provided by the company.

Reports To: Operations Director

Responsibilities and Duties:

  • Answer incoming phone calls and takes customer inquiries and orders. Set up new patient files.
  • Verify private insurance, Medicare, and Medicaid coverage. Process intake forms and all necessary forms for product or service delivery. Familiar with rules and regulations regarding the type of coverage being billed.
  • Respond to patient inquiries and problems. Serve as a liaison between the customer and the company.
  • Maintain communication with patients and referral sources. Communicate with the physician's office to follow up or request authorization or CMN forms.
  • Maintain accurate and complete patients’ records for all billing purposes.
  • Communicate and resolves problems with patients, referral sources, and third-party insurance, as well as with DMEPOS operations for proper procedures for reimbursement.
  • Obtain necessary information for billing purposed, review it for completeness and accuracy, and oversee the claims submittal process.
  • Maintain rental files by verifying that the customer is still using equipment, verifying Medicaid coverage each month, and following up on Medicaid Pending patients.
  • Responsible for computer input, summary printouts, and monthly reports
  • Prepare invoices and other documents for the following day’s route deliveries.
  • Assist in preparing driver routes and communicate with patients as necessary. Act on a call basis for patient care delivery in an emergency.
  • Perform manual or electronic processing of reimbursement claims.
  • Maintain files on DME patients on types of equipment and repairs furnished
  • Attend in-service training and group meetings regularly to be updated on all new DME and insurance regulations and compliance issues.
  • Input data from various sources. Print orders, invoices, statements, and various reports.
  • Professionally market the company.
  • Request assignment of benefits, prescriptions, letters of medical necessity, and other required information
  • Communicate problems and concerns with Operations Director on issues that may lead to inaccurate or untimely completion of reimbursement processing.
  • Perform other duties as assigned by supervisors.

Qualifications:

  • Education: Graduate of an accredited high school or equivalent.
  • Previous data entry or customer service experience, basic computer skill.
  • Excellent customer relations’ skills. Excellent telephone manner.
  • Able to communicate effectively both orally and in writing.

Physical Requirement:

  • Ability to stand for 8 hours or to walk back and forth for an 8 hr work shift.
  • Ability to lift 15 pounds, 4 feet off the floor.

Continuous Educational and Licensing Requirements: In-service training on HIPAA, sexual harassment, infection control, appropriate Medicare billing requirements, prevention of billing errors and, fraud and abuse, and relevant product knowledge. A satisfactory annual job performance evaluation.
