We are seeking a Practice Assistant to join our Patent & Innovations group. This position offers a wide range of responsibilities and challenges that will utilize your strong administrative and organizational skills. You will assist the practice manager in managing the day-to-day operations and work closely together to help manage a vibrant practice. This role will have a hybrid work schedule.
Primary Responsibilities
  • Analyze inactive clients and recommend next steps
    • Withdraw representation or transfer to other attorneys
  • Maintenance of transfer-out procedures
    • Accounts receivable is paid, annuities are cleared, matters are closed properly
  • Assist with electronic data room training and management
  • Verify and update client account information
  • Conflicts management
    • Set up data rooms and coordinate with working teams to provide neutral reviewer materials for review
  • Assist with planning meetings and travel arrangements.
  • Maintain and monitor attorney calendar when needed as backup support.
  • Other administrative projects as they arise.
Qualifications
  • Bachelor’s degree required.
  • Law firm experience preferred; patent experience not required.
  • Minimum two years of administrative experience, preferably in a law firm environment.
Knowledge, Skills, and Abilities
  • Strong attention to detail, follow-up and excellent organizational skills.
  • Proven competencies in software applications and programs, particularly Microsoft Office, including Excel, Word, Power Point, and Outlook. Excellent word processing and file management skills.
  • Must possess personal tact and good judgment. Excellent interpersonal, written and verbal communication skills. Acts with integrity in all situations.
  • Ability to treat sensitive/confidential information with appropriate discretion.
  • Occasional overtime work may be necessary.
The primary location for this job posting is in San Diego. The actual base pay offered will depend upon a variety of factors, including but not limited to the selected candidate’s qualifications, years of relevant experience, level of education, professional certifications and licenses, and work location. The anticipated pay range for this position is as follows: $25.01 - $33.84 per hour.
The compensation for this position may include overtime and a discretionary year-end merit bonus based on performance. We offer a highly competitive salary and benefits package.
