Program Coordinator - Dermatology (Hybrid/Remote) Job at UCLA Health
Responsibilities
The Department of Medicine, Division of Dermatology is seeking a Program Coordinator to provide support for three dynamic, highly competitive, and academically-oriented post-graduate training programs. Primary duties include:
- Oversee all administrative aspects of the programs, including coordinating rotations of trainees throughout the 4 training hospitals to optimize educational experiences; coordinate online evaluation systems; administering medical student rotations; preparing agendas, presentations, and minutes for meetings with key stakeholders; developing and implementing the processing of externships, including elective rotations; assisting with faculty and trainee data collection and preparation of all program accreditation documents and internal review reports
- Serve as the primary contact between residents and fellows and residency programs at affiliated hospitals and applicable medical boards and ACGME and other certifying agencies
- Organize the annual recruitment process, including the applications, interviews, selections, and publication of the recruitment materials
- Coordinate graduation activities and separation process for outgoing house staff, the welcome orientation for new house staff, and open house events for prospective applicants
- Coordinate and administer annual scheduling and administration of the American Board of Dermatology exams for residents, including proctoring special cases, as well as other required annual exams for residents
- Supervise the enrollment and evaluations of three different medical student rotations
Salary range: $55600.00-$110600.00 Annual
Qualifications
- 3+ years of progressively responsible office administration experience, preferably in a healthcare and/or higher education setting
- Prior experience in organizing and planning meetings, conferences, and small events is preferred
- Demonstrated knowledge in database management, with a proven ability to organize and present data in spreadsheets, including budgetary data skills
- Initiative, resourcefulness, and problem-solving skills in organizing and prioritizing work
- Proficiency in using Word, Excel, PowerPoint, Outlook, Zoom, and Teams
- Excellent written and oral communication skills
- Strong organizational skills with superb attention to detail
- Outstanding customer service skills
- Bachelor’s degree is highly preferred
