Job Description:
The Moses Weitzman Health System Project/Program Manager possesses the ability to lead and facilitate multiple concurrent projects of various scope, across departments, while also providing strategic program oversight. This individual should be comfortable synthesizing departmental, user and patient needs across operations, clinical and IT. The Project/Program Manager will have proven knowledge of data analytics, operational analysis, and specialized reporting tools to develop specifications, test systems, and meet project and program requirements. As new systems and workflows are developed this individual will be responsible for enhancement ideas, process improvement, testing, training documentation, and training facilitation. In addition, this individual will have responsibility for leading the Patient Engagement Team; overseeing their day-to-day activities, including but not limited to telehealth concierge, patient survey processing, patient appointment reminders, recall reminders, texting, patient portal, emailing and outreach campaigns. In this context, the Project/Program Manager will ensure the department follows all regulatory, legal and compliance standards related to patient engagement and outreach.
ROLE AND RESPONSIBILITIES
- Champions and facilitates large projects that affect the company's long-range goals and objectives.
- Meets with decision makers, systems owners, business analysts and end users to define requirements and goals and coordinates post-implementation support, including end-user reviews, for modified and new reports.
- Leads projects to ensure they meet scope, time, budget and quality expectations.
- Provides innovative solutions to complex and critically sensitive issues affecting multiple disciplines and business units.
- Determines and pursues courses of action essential in accomplishing objectives. Integrates advanced technology, theories or techniques that have a significant continued impact across disciplines and business units.
- Manages operational third party vendor efforts to plan, build, implement solutions and report on outcomes to internal problems and issues.
- Develops models, procedures, and protocols for reporting in concert with company goals.
- Prepares and delivers reports of systems enhancements, corrections, and roll out strategies.
- Advises managers and stakeholders regarding appropriate, effective, and efficient use of organizational system capabilities and functions.
- Oversees, directs and leads the patient engagement department to ensure effective, compliant patient communications are delivered to meet business objectives, coordinate patient care and patient satisfaction.
- Ensures all regulatory, legal and compliance standards related to patient engagement and outreach are consistently met.
- Maintains a thorough knowledge of all systems managed by the Patient Engagement Department.
- Documents and communicates current and future workflows related to Patient Engagement to ensure leadership and all applicable parties are informed of current processes and outcomes.
- Generates, manages and shares departmental KPI’s and reporting to ensure optimal performance and outcomes.
- Ensures compliance with all MWHS required trainings.
- Other related duties and responsibilities as assigned.
QUALIFICATIONS
Required Skills and Education
- Bachelors Degree in business administration, information technology or other closely related fields
- 2+ years experience in Project Management and Quality Improvement efforts, including interpreting and manipulating data
- Intermediate to advanced skills working with Microsoft Office Products, Excel and Visio
- Strong customer service orientation, experience working in a team-oriented, collaborative environment
- Superior judgment, negotiation, problem solving and decision-making skills
- Excellent written, verbal and communication skills
- Proven ability to multi-task and manage multiple concurrent projects
- Experience managing a department
Preferred Skills
- Knowledge of Athena Practice Solutions, eClinicalWorks and Luma
- Experience in primary care practices or outpatient/ambulatory care
- Experience with medical, dental, and behavioral health workflows and technology
- Experience working across departments and/or within a matrixed organization structure
- Knowledge of regulatory, legal and compliance standards related to patient engagement and outreach
- PMP certification
