JOB SUMMARY
The Project Specialist needs to be the account expert; providing clients with complete, fully integrated, and scalable solutions and services that drive productivity, efficiencies, and business generation. This role must understand the business needs of clients including defining and maintaining project scope, developing solutions, and managing the project from launch through project closure. Responsible for resolving conflicts by demonstrating leadership and appropriate decision-making competencies with the resources (direct or indirect) assigned to the project effort. You will work closely with sales, account management, and development teams ensuring that an ongoing dialogue on project status is effectively collected and presented.

Responsibilities for Project Specialist
Core responsibilities include but are not limited to the items listed below:

Plan the Project
  • Define the scope of the project in collaboration with senior management
  • Develop a schedule for project completion that effectively allocates the resources to the activities
  • Manage the customer and internal resources and expectations to drive toward project milestone and overall project execution
  • Review the project schedule with senior management and all other staff that will be affected by the project activities; revise the schedule as required
  • Determine the objectives and measures upon which the project will be evaluated at its completion
Processes
  • Execute the project per the project plan outlined
  • Develop forms and records to document project process
  • Set up files to ensure that all project information is appropriately documented
  • Provides consultation and direction to ensure programs and services are performed at the highest standards and the clients, patients and employees receive the highest level of care
  • Monitor the progress of the project and adjust as necessary to ensure the successful completion
  • Schedule and facilitate regular status meetings as well as facilitate information to keep teams well informed of changes, client requests within the organization and other related issues
  • Establish a communication schedule to update stakeholders including appropriate staff in the organization on the progress of the project
  • Participate in cross-functional teams, acting as an advocate for the client, to ensure customer needs are met through a more powerful approach to exceed the clients’ expectations
Evaluate the project
  • Ensure that the project deliverables are on time, and at the required level of quality
  • Delivers engaging, informative, well-organized presentations
  • Evaluate the outcomes of the project with the department leadership as established during the planning phase
  • Document lessons learned through the process by viewing all projects as an opportunity to improve the process.
  • Work as an escalation point for the Technical Support team
Skills for Project Specialist
  • Strong leadership and facilitation skills and be proficient at solving complex problems and analyzing unique issues
  • Highly motivated and be a self-starter able to organize and manage multiple tasks concurrently as well as work with limited supervision
  • Ability to communicate sensitive information tactfully and diplomatic when the need arises
  • Superior reading comprehension skills, persuasive communication skills, both oral and written, as well as strong interpersonal skills
  • Prior experience writing complex standards for application to multiple stakeholders
  • Effective listening skills and ability to think “out-side the box” mentality
  • Interacting with non-technical and very technical individuals can be difficult, you will need to have the great customer support communications to satisfy our internal customers and external clients and vendors
  • Flexible and able to multitask; can work within an ambiguous, fast-moving environment, while also driving toward clarity and solutions; demonstrated resourcefulness in setting priorities and guiding investment in people and systems
  • Passion to excel, be customer focused and results driven, and can effectively collaborate and work with personnel at various levels throughout the company
  • Proficiency in the utilization of Microsoft Office computer applications (e.g., Word, Excel, PowerPoint, and Outlook
  • Experience focused on deliverables, sustained delivery with high quality and exceptional client service
  • Able to travel as necessary
  • Ability to multi-task while maintaining competing priorities under tight deadlines
  • Experience working in a fast-paced environment
  • Must have the ability to collaborate in team settings and work independently
  • Can easily manage multiple tasks in a well-organized and highly detailed manner while working in a fast-paced, perpetually evolving, process-driven environment
  • Knowledge of EOBs, CPT, and ICD-9 codes, HCFAs, UB04s, HCPCS, DRGs and authorizations/referrals
  • Ability to learn/stay abreast of relevant policies
  • Ability to manage team of representatives and/or leads and supervisors
Qualifications for Project Specialist
  • High school diploma or equivalent
  • Epic and Visio experience preferred
  • Previous work experience in insurance, collections, compliance and/or training highly preferred.
