The Job:
The ideal candidate should have the leadership skills to assist in the day-to-day operations of projects as well as manage meetings, events, and initiatives as assigned. Candidates should be well-organized, thoughtful and service oriented. In addition, candidates should be able to take ownership of tasks and exhibit a high level of initiative and follow-through in a dynamic and fast-paced work environment.

As a Project Team Coordinator, your responsibilities will include (but may not be limited to):
Project Coordination Role —70%
Assist with preparation of scope and fee proposals for new project opportunities
Actively manage project filing (electronic and hardcopy), data entry, document scanning, and project database
Ensure accurate project set-up, as well as compilation of all related project documents
Provide quality control, project team coordination, and project administrative support
Manage Project specifications and maintain edits from the project Engineer
Coordinate transmittal of project deliverables (i.e. RFIs, submittals, actions items, change orders)
Assist senior engineers with the printing, stamping, and delivery of shop drawings
Track and update deadlines & deliverables
Generate weekly team schedules & deliverable reports
Construction administration activities to include internal processing of all RFI’s, Shop Drawings, Change Orders, etc… Maintain internal daily/weekly logs or construction activities and reconcile with each project tracking tools.

Office Support Role — 30%
Front desk management
Coordinate office services and general operations
Facility management and operation
May assist with production of marketing materials, search for opportunities, and maintenance of project pursuit database, as assigned
Provide general clerical and administrative support
Attend & prepare notes for monthly team meetings

The successful candidate will have:
A minimum of Associates Degree or four years’ experience in project coordination duties
Proficiency with Microsoft Office – Outlook, Word, Excel, and PowerPoint
Experience with Newforma, Vision, Bluebeam and Speclink is a plus
Good oral communication and listening skills
Ability to interact with a wide variety of people
Well-organized, ability to multi-task and handle multiple deadlines effectively
Ability to maintain confidentiality of sensitive data
