IntellecTechs is currently seeking a Proposal and Document Support Specialist to help coordinate required documents for potential clients to generate new business and to help business operations. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Must be comfortable with computers, general office tasks, be a positive presence in the workplace, and excel at both verbal and written communication. For proposal support, collaborate with the executive team, other managers and teaming partners to develop accurate and compliant outlines, write ups, marketing documents, sources sought responses, technical approaches, and descriptions of how the company can provide the goods or services to address clients’ needs. Duties may include researching market rates, writing support for proposals, and researching price and salary data to determine best pricing options and timelines for projects.

Primary Responsibilities

  • Gather information, edit, layout and produce multiple proposals simultaneously;
  • Develop and maintain narrative and visual content summarizing the company’s past performance, personnel qualifications, and relevant project experiences;
  • Develop graphically rich, compelling stories, organization charts and other related documents to support brand awareness and marketing efforts for both internal and external audiences;
  • Draft and prepare official and unofficial documents to include letters, memo, data calls, slides, standard operating procedures, etc., with guidance from your supervisor
  • Track and quantify pursuits and backlog generation rates
  • Screen and evaluate task orders or solicitations to determine response requirements and feasibility to win;
  • Support various business document production, formatting and editing and reporting for project-related deliverables;
  • Coordinate and support various business development and revenue tracking and reporting efforts;
  • Assist with developing job ads from the government solicitation, resume reviews, formatting of resumes as needed for contingent proposal efforts;
  • Coordinate conference attendance and team meetings;
  • Help identify / research and prepare responses to government sources sought or request for information request;
  • Work with teaming partners for administrative request for information (data calls) required for proposals; draft and review teaming agreement and NDAs;
  • Help research and identify new business opportunities, participate in new business pitches and assist in drafting new business proposals.
  • Assist or Lead proposal kick-off discussions / meetings
  • Assist with maintaining proposal pipeline
  • Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.

Work Environment
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand, walk, and possibly lift up to 15 lbs.

Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8 a.m. to 5 p.m. Evening and weekend work may be required as job duties demand. Must be able to successfully pass background check.

Required Education and Experience

  • High school diploma graduate
  • Prior administrative experience
  • Flexible and ability to work comfortably and in a collaborative fashion with other managers and executives to promote appropriate technological innovation.
  • Attention to details.

Desired Experience

  • Associate degree or higher
  • 4 years of government contracting or military experience
  • Excellent analytical and organizational skills

Pay: $44,092.66 - $53,100.83 per year
