We are seeking a
Receptionist (Client Services Coordinator) for our Anchorage office. In this role, you will be a first point of contact for many of our clients and visitors as you provide a warm, professional welcome in our main reception/client services area. In addition to serving at the main reception desk, you will direct callers and inquiries to the appropriate department or individual at the Firm. Do you excel at providing excellent customer service? In this role, you will:
- Answer phones and direct incoming callers, greet clients and visitors, and provide concierge services to clients and Firm members.
- Promote and maintain the good will and reputation of the Firm by maintaining the highest level of professional conduct and confidentiality.
- Present an image consistent with a professional services firm and a demeanor representative of Dorsey’s client service culture.
- Maintain a clean and uncluttered work area, ensuring that sensitive materials and valuable items are secure.
- Coordinate and reserve conference rooms, calendar accordingly.
- Maintain updated Wi-Fi passwords and post information in all conference rooms and visiting attorney offices.
- Keep supervisor informed of activities and of any significant issues.
- Prepare conference room for meetings, arrange lunches and greet clients.
- Assist with conference room set up and clean-up after events and meetings in a timely manner.
- Order food for client meetings and internal events.
- Schedule conference rooms, visiting attorney offices, and resources (equipment, catering, etc).
- Inventory and order kitchen supplies from vendor.
- Assist with ordering supplies, including restocking kitchen beverages, distributing packages, and restocking printers.
- Assist with mailings, prepare outgoing mail; prepare FedEx labels.
- Maintain department supplies.
- May perform other duties not listed above.
What we’re looking for:
- High School diploma or G.E.D. equivalent.
- At least 1 year of administrative or related experience.
- Professional appearance.
- Ability to communicate effectively, both verbal and written, with all levels of personnel both external and internal.
- Ability to work independently, be proactive, take appropriate initiative, and adhere to deadlines and priorities.
- Ability to work in and add value to a team environment.
- Demonstrated ability to focus on priorities and successfully perform job duties under stressful circumstances, including maintaining a calm demeanor.
- Understanding of the firm’s business and services being provided.
- Regular attendance and punctuality.
- Strong attention to detail and organizational skills.
- Working knowledge of MS Office suite.
- Physical strength & agility to fully perform the duties of the position, including frequent bending, walking & lifting up to 30 pounds.
Preferred:
- Previous related experience in a law firm or professional services organization.
