About our Company:

Hotel Genevieve is a new hotel project from Austin’s acclaimed hospitality group Bunkhouse. At 122 rooms, it is Bunkhouse’s largest hotel to date and melds new architecture with rich touches that reference Louisville’s one-of-a-kind culture. Inspired by a city that is much more layered than bourbon and horses, the hotel is for a regional type of limestone, Saint Genevieve, which is a key ingredient in bourbon production. Limestone is also prevalent throughout Texas, providing a throughline from Bunkhouse origins to this new chapter in Kentucky. We're looking for:

A Sales and Events Coordinator will excel in contacting potential customers to develop & generate business, respond to all leads for business in a timely manner, coordinate activities for bookings, and organize sales activities to maximize results. This position assists the Director of Events and Brand Partnerships to develop, implement, promote and follow through on actions and activities to increase business revenues

A Sales and Events Coordinator must have the ability to resolve conflict and a thorough understanding of Bunkhouse policies. Furthermore, a Sales and Events Coordinator must develop and maintain the company’s culture, values and reputation in the public eye, and with all staff, guests, vendors and partners.

Knowledge, Skills, and Abilities:

  • High School diploma or general education degree (GED). College Degree preferred
  • Two (2) years related experience in hospitality events or events industry
  • Ability to create documents in Excel and Word
  • Ability to understand other computer programs (i.e. Property Management System)
  • Ability to apply concepts of math including addition, subtraction, multiplication, division and algebra, using whole numbers, common fractions, and decimals

Job Requirements:

  • Meet with potential customers to offer event services and tour the venue
  • Meet with customers to discuss in house offerings for special occasions such as conferences, festivals, weddings, parties and banquets
  • Coordinate services, staff and location with necessary vendors and departments
  • Book special event reservations accurately
  • Ensure special event revenue is collected properly
  • File all necessary permits required for each event and ensure each event follows local regulations
  • Schedule all special events staff and assign duties and responsibilities in accordance with work requirements
  • Outsource additional labor for functions when necessary
  • Develop and initiate all actions necessary and appropriate to achieve established sales department revenue goals and overall business revenue goals for the property
  • Serve as a leader in Bunkhouse “Guest Service” culture through personal actions, identifying areas for improvement
  • Demonstrate working knowledge of Bunkhouse operational standards
  • Actively and consistently prospect and develops new sources of business for venue through telephone and email marketing and outside personal sales calls, successfully converting potential business opportunities to confirmed bookings
  • Plan personal work schedule, prioritizing work tasks and responsibilities
  • Respond to contacts for hotel information in a business-like and timely manner
  • Respond in timely manner to all leads/RFPs and other sources of potential business opportunities for the venue
  • Participate in meetings, sales blitzes, and brainstorming opportunities to increase sales results for venue
  • Utilizes office systems consistently to maintain accurate, up to date information for all business contacts
  • Prepare and distribute internal/external correspondence, contracts, BEO’s, group resumes, rooming lists, event schedules, and other documents in an accurate and timely manner
  • Responsible for securing completed distribution of group credit information, and accurate adherence to event billing procedures
  • Maintain trace dates for contact follow-up and all actions necessary for group bookings and appreciations
  • Distribute information to all Departments regarding needs and requirements of groups, meetings and events taking place on the property
  • Complete monthly Sales Department Productivity Report
  • Monitor business trends and directs adjustments to Revenue Maximization Strategies
  • Adhere to all standards of operations, policies and procedures, manuals, training material, memos and verbal instruction
  • Ensure open lines of communication with staff, all departments and upper management at all times via email, logbooks, meetings, etc., to ensure all needs of the venue are met
  • Maintain a high level of cleanliness and safety in the work area
  • Maintain an increased awareness of safety issues throughout the property
  • Keep abreast of safety and emergency procedures and OSHA requirements
  • Attend relevant meetings

Based upon fluctuating demands of the operation and to exceed customer expectations, it may be necessary to perform a multitude of different functions not specifically related to this position. This person may be expected to perform other tasks and duties as needed or as directed. Furthermore, employee responsibilities and job descriptions are subject to review and revision.

Working Conditions/Environment:

  • The noise level in the work environment is usually moderate
  • The person in this position may have to lift up to fifty (50) pounds on a daily basis; anything over fifty (50) pounds is considered a minimum two (2) person lift
  • The person having this position may have to sit for one (1) hour, stand and/or walk, push, kneel, bend, balance, squat, reach and stretch for eight (8) hours per day
