SALES COORDINATOR
PAY: Starting at $16.50
SCHEDULE: Monday thru Friday, 9 a.m. - 6 p.m. with overtime when needed. Also, one rotating Saturday shift a.m. for 4 hours, every 4-5 weeks (if needed during peak season).
GENERAL DESCRIPTION:
Under supervision of the Business Manager. Assists Sales Managers in ensuring appropriate client transportation needs by booking the services in the reservation system and distributing information to various departments. Also assist with various administrative duties for the Sales Department as requested.
Please note: COVID-19 Vaccines are required for certain positions based upon requirements of some clients.
TYPICAL DUTIES/ RESPONSIBILITIES:
Answers and screens Sales Department telephone calls. Takes necessary action on calls. Files all necessary documents, reports, communications etc. Fills in at switchboard as needed when receptionist is out. Type proposals and correspondence for the Sales Department as requested using ISystem and email. Assists clients and guests with current transportation or other sales projects. Provides project information to client in form of a contract. Enters reservations via the ISystem, books staff, sends out summary sheets to various departments. Reviews contracts before finalizing into an invoice. Interact with all departments including, Field Managers, Staffing, Accounting, Customer Service and Bus Operations.
COMPUTER SKILLS:
Microsoft Word, Excel, Outlook, Windows
THE POSITION REQUIRES:
- Strong oral and written communication skills
- Type 35 wpm
- Relief switchboard operator for lunch hours as needed
- Attention to detail
- Resourcefulness
- Excellent organizational skills and ability to multitask under pressure
- Previous ISystem knowledge a plus
- Previous experience in the hospitality industry preferred
