We are looking for a Sales and Reservation Agent to join our team!

The property consists of 30 rooms located within 24 unique cabins as well a restaurant and saloon, pavilion, retail shop, equestrian facilities, and meeting spaces. Position Summary:
Lone Mountain Ranch Sales Agents are order-makers, not order-takers. They are self-motivated, and friendly, always helping guests find the right accommodations to fit their needs. Using their knowledge of the property and our unique experience, they suggest different packages and amenities and ask questions to create individually designed, tailor-made itineraries. The ability to deliver excellent customer service is paramount.
The ideal candidate must have excellent analytical skills and must fully comprehend the travel industry distribution landscape. This includes third party channels, GDS, central reservation systems, and property management systems. Strong verbal and interpersonal skills are imperative as this position will interact remotely with the on-property team, interact frequently with corporate brand representation, and will coach other Sales Agents on strategies and best practices.
P osition Duties:
The duties and tasks of this position include, but are not limited to the following:

Respond to communications from guests, travel agents, and referral networks concerning reservations arriving by email, live chat, telephone, or through a central reservations system.

Utilize Hotel PMS system to book reservations, activities, transportation, and record guest preferences.

Maintain knowledge of entire Reservation Procedure

Achieve levels of client service at all stages of the process to engender repeat business

Operate and engage web site visitors using Live Chat

Make the most out of every single genuine “sales inquiry/lead” received and differentiate between good and bad leads so that we maximize revenue and profit

To take appropriate opportunities to up-sell and switch-sell to preferred products

Know the type of rooms the ranch has as well as their location and layout, including meeting spaces, F&B venues, and public spaces

Know all the ranch packages, rates, and amenities

Assist with planning and concierge services for guests seeking personalized experiences

Identify and record important guest information in the client records such as special dates, preferences, and key relationships

Provide customers with brochures and publications containing travel information, such as local attractions, and points of interest

Prepare letters of confirmation and promptly process any cancellations and modifications as well as promptly relaying information to the property.

Assist in processing advance reservation deposits and billing

Assist in implementing plans to capture source data in order to more effectively market to potential guests

Provide critical analysis of strategies, room’s statistics, and demand factors

Assist in the preparation of training materials, training schedules, and systems training for Sales team members

Collect information about areas of interest in order to target more clients in particular seasons

Prepare weekly, monthly and quarterly activity reports, including inquiry source tracking, inquiry follow up, and turndown reports

Attend weekly sales meetings by conference call to maintain communication of strategies and need periods

Office supplies expense is maintained within budget

Business travel to the property and other locations as necessary

Seek guidance and direction as necessary from the Director of Sales and General Manager
Position Qualifications:

Minimum of 3 years of experience as Reservations Sales Agent in the Hospitality industry is required

Must have superior people skills and strong communications skills, both verbally and in writing

Must be able to work independently in a remote office while maintaining close coordination with on-property sales and reservations team

Prior experience working remotely highly preferred

Must be able to hold yourself accountable

Strong organization and time management skills

Excellent troubleshooting and problem-solving ability

Above average computer skills (MS Office, Outlook) and proficiency with Hotel PMS systems
Reports To: This position reports directly to the Director of Sales
Compensation: DOE
Schedule: Full time, 40 hours/week, Weekends Required
