JOB DESCRIPTION
TITLE : SCHEDULING SUPPORT SUPERVISOR - LONG TERM CARE ACCESS
DEFINITION : Under the supervision of the Assistant Director of Long Term Care Access; the Scheduling Support Supervisor is responsible for the management and supervision of the Intake Referral Specialist, LTCA Schedulers, and the LTCA Support Technicians.
QUALIFICATIONS :
Education and Experience:
- Bachelor’s degree, in Social Work or a closely related discipline.
- Supervisory experience required; Master’s degree in lieu of supervisory experience will be considered
- Three years of experience working with the aging population, preferably in a social services setting.
Professional Characteristics:
- High energy level, able to manage a variety of projects simultaneously.
- Well-developed interpersonal, communication and organizational skills.
- Well organized.
- Strong computer skills including but not limited to Microsoft Office.
- Ability to quickly assimilate and implement changes in program regulations and agency policies.
- Strong problem-solving skills.

- Duties and Functions :
- Provide direct supervision of the Intake Referral Specialist, LTCA Schedulers, and Support Technicians.
- Perform the duties and responsibilities of the Intake Referral Specialist in their absence.
- Provide daily assignments for the schedulers to ensure all calls in the LMS scheduler are completed and all voicemails are checked and followed up on.
- Responsible for daily reconciliation of all referrals entered in the Pennsylvania Individualized Assessment (PIA) data base.
- Oversees the LTCA Management System (LMS) and PIA’s Assignment and Referral lists to ensure all referrals are processed and completed within the mandated time frame for the case type accurately.
- Overseeing and retrieving referral information in the PIA system throughout the day and moving this information to LMS scheduling Queue. Reconcile cases when follow up or problem solving is needed.
- Ensure the LTCA Schedulers and technicians meet daily productivity standards.
- Provide daily or weekly statistics as requested to the Assistant Director of call activity for the schedulers utilizing the report that logs call activities.
- Model enthusiasm for PCA and LTCA’s mission.
- Assure a strengths-based, consumer centered approach in supervision of the LMS team (Intake Referral Specialist, LTCA Schedulers, and the LTCA Support Technicians).
- Other duties as assigned.

- Productivity standards of the LTCA Schedulers, LTCA Support Technicians, and Intake Referral Specialist.
- Timeliness and accuracy of all case processing.
- Establishment of productive working relationships with LTCA Schedulers, LTCA Support Technicians, and Intake Referral Specialist.
- Ability to work independently and autonomously.
