Senior Administrative Assistant Job at Maryland Courts

This is secretarial and administrative work providing support to Associate Judges and Senior Judges in the Upper Marlboro District Court. The Senior Administrative Assistant must be able to maintain confidentiality; be trustworthy and ethical; and committed to excellent customer service in person and on the phone. Must have the ability to properly screen and route messages to the appropriate party or department. Must be organized with the ability to multi-task. Accuracy in data entry is essential. Coordinates meetings; make appointments; sort, file, and retrieve correspondence; files, records, and reports. Creates correspondence on behalf of chambers. Collects and distributes mail, maintains office supplies, processes travel or other expense reports, and performs Human Resources functions, as needed. Knowledge of and the ability to update the court’s various databases is essential. Assists with special projects and perform other duties as assigned by Supervisor, Judge or Administrative official. Retrieve cases from clerk’s office for Judges to sign in chambers; enter cases in court database and return to clerk’s office; schedule bond review hearings; provide information to necessary case parties; and provide administrative support services to the other Judges’ chambers when assigned Administrative Assistant is absent. Answer, screen, and route telephone calls; maintain calendars and make appointments for Judges. Arrange meetings and logistics; prepare agendas; coordinate packets/handouts; and compose meeting minutes for Judges. Maintain office supplies, forms, and materials; maintain equipment and schedule routine maintenance. Forward invoices for payment and process expense reports.

Education: High School Diploma (or GED equivalent)

Experience: Three years of related work experience.

Skills/Abilities: Knowledge of general office practices, procedures, and equipment; basic English and arithmetic to include, but not limited to, spelling, punctuation, addition, subtraction, multiplication, and division; office equipment including, but not limited to, computers, telephones, copiers, scanners, fax machines, etc; Judicial policies, procedures, and forms.

Skill in managing priorities to meet critical deadlines while multitasking, typing on personal computer. Organization and time management. Accuracy and attention to detail. Customer service and handling problems tactfully and patiently. Reading, comprehension, proofreading, and editing. Usage of standard office equipment, computer equipment, and computer applications. Interpersonal communication and relations.

Ability to work within time constraints, meet fixed deadlines, and demonstrate good organizational skills; interpret, apply, and follow a variety of written or verbal instructions; communicate clearly, tactfully, and effectively with judges, the public, police agencies, attorneys, and other court officials and personnel, both verbally and in writing; use and maintain alphabetical and numerical filing systems. Perform basic arithmetical calculations and computations accurately. Understand and carry out complex verbal and written instructions. Use standard office and business equipment including, but not limited to, personal computers, word processing, spreadsheets, database software, copier, microfilm machine, register, scanner, fax machine, etc. Understand and abide by departmental rules, regulations, and procedures. Accurately prepare and process a variety of reports, records, and documents. Establish and maintain effective working relationships with other employees, superiors, and/or the general public. Maintain confidentiality. Ability to perform all essential functions of the position.

Beginning December 29, 2021, all new employees will be required to be fully vaccinated as a condition of their employment.
